Carnegie Mellon University’s Tepper School of Business is searching for a Recruiting and Office Coordinator to join their team.  This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by providing support by providing detailed oversight of campus recruiting interview schedules for MBA and other Tepper MS students and recruiters. In the current environment, these can be fully-live, virtual or in a hybrid format.

Core responsibilities include:

  • Enter job postings into the 12Twenty system

  • Organize and manage recruiting schedules, assisting and supporting employers and students to finalize their interview events ahead of time.

  • Respond to student and employer inquiries with any recruiting related questions or software system issues.  Troubleshoot or escalate issues to resolve them.

  • Responsible for professional interactions with corporate recruiters, other company representatives (including Tepper alumni) and other Tepper staff to provide a high level of accuracy and customer service in all recruiting activities.

  • Responsible for the accuracy of all information entered into multiple systems, ranging from the MCC Recruiting Portal, Tartan Connect, 25 Live, Canvas. Zoom and others as needed.  Assist with compiling data for reports and record-keeping as needed.

  • Represent Tepper School of multi-school consortia events with other top-tier business schools to increase opportunities for students.  May involve travel to attend these events.

  • Responsible for logistics for MCC student workshops and assisting with career fairs and other recruiting events. 

  • Primary holder/user of the departmental P-Card.  Use card to pay for relevant expenses, regularly and accurately reconcile charges.

  • Using Oracle to process travel/expense report tracking for MCC Director(s) and Associate Directors as needed. 

  • Interact with Business Office/Facilities as needed to manage troubleshooting of any MCC Facilities issues.

  • Lead person to manage entering job postings in 12Twenty, working with supervisor when needed to monitor workflow during peak times.

  • Monitor and order office supplies as needed.

  • Under the direction of the Associate Director, Recruiting, cross-train and act as backup for some aspects of the Senior Recruiting Events Coordinator role as needed.

  • May be required to provide occasional MCC Front Desk coverage during any recruiting events when temporary staff are not available and onsite recruiting occurs.

  • Assist with annual database updates/purges, participate in other seasonal office projects.

  • Other duties as requested or required.

Qualifications:

  • High school diploma or GED required; Associate’s degree preferred

  • 3-5 years of administrative or related experience required; 2 or more years of experience in a fast-paced career services or corporate recruiting environment is preferred

A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Additional Information:

  • Sponsorship: Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over the sponsorship of an employment visa for this opportunity.  Carnegie Mellon is not a qualifying employer for the STEM OPT benefit: only the 12-month OPT may be used to work at Carnegie Mellon.

  • This is a full-time (37.5 hours), non-exempt position based in Pittsburgh, PA

  • Work Posture: This position is operating on a hybrid schedule, with an on-campus/in-office presence of 4 to 5 days per week through December 31, 2026. Effective January 1, 2027, the expected work posture will transition to four (4) days on-site and one (1) day remote per week. Continuation of any hybrid work arrangement is not guaranteed and will be subject to further evaluation based on university policy, business needs, and institutional approval.

  • Typical Work Schedule:  Monday-Friday from 8:30-5:00pm. An alternate work schedule allowing for evening and weekend hours will be required on occasion.
