ROLE
KMRG, LLC (KMRG) is a federal services company that hires talented professionals to support Government agencies and the communities they serve. We are hiring a Records Management Assistant to support the United States Capitol Police (USCP), Office of Information Systems (OIS), Information Resources Management Division (IRMD). In this role, you will support day-to-day records management activities, help maintain records inventories and lifecycle documentation, assist with assessments and training, prepare reports and communications, and coordinate with records liaisons and program offices to keep records information accurate, organized, and usable.

RESPONSIBILITIES
Records Inventory & Lifecycle Support
  • Support Department-wide records inventories by collecting, validating, and organizing data from program offices and records liaisons
  • Assist with records transfers, disposal guidance, and destruction-list reviews under approved retention schedules
  • Maintain and update Records Liaison listings and related records management documentation
  • Coordinate onsite support activities as required for records transport, inventory validation, and stakeholder engagement
  • Maintain accurate records information and supporting documentation for day-to-day records management activities
  • Identify records-data issues and coordinate follow-up with records management leadership and program stakeholders
Records Program Coordination & Communications
  • Prepare and distribute routine records management communications, including newsletters and informational materials
  • Participate in records management planning meetings, document meeting minutes, and track follow-up actions
  • Coordinate with records liaisons and program offices to collect information and support recurring records management activities
  • Assist with records-management training coordination, attendance tracking, and material preparation
  • Provide timely administrative support for records management meetings, communications, and follow-up
Assessments, Reporting & Data Support
  • Support records assessments and surveys by gathering data, compiling results, and preparing summaries
  • Prepare reports, dashboards, and other data materials for records management and OIS activities
  • Analyze records data to identify issues and support recommendations for Government review
  • Provide business-analysis support to OIS and records management programs, including documentation and presentations
  • Organize and validate records information so reporting and program materials are accurate and complete
Records Technology & Documentation
  • Use approved records management and Microsoft tools to organize, document, and report records information
  • Support electronic records management and maintain documentation in accordance with USCP processes
  • Protect sensitive USCP information and follow applicable confidentiality, security, and records-handling requirements

REQUIRED EXPERIENCE
  • At least 3 years of records management and execution experience
  • Associate degree
  • Demonstrated experience supporting records inventories, lifecycle activities, records data, or comparable records-management functions

REQUIRED KNOWLEDGE, ABILITIES & SKILLS
  • Ability to analyze records data, identify issues, and recommend practical solutions
  • Strong attention to detail and accuracy in records management analysis and documentation
  • Strong written and verbal communication skills for coordinating with records liaisons, program staff, and Government stakeholders
  • Ability to collect, validate, organize, and maintain records inventory and program data
  • Ability to prepare clear reports, dashboards, communications, meeting documentation, and training-support materials

PREFERRED EXPERIENCE
  • Federal records management experience or exposure
  • Experience using Records Management Information Technology
  • Experience supporting records assessments, inventories, retention, transfer, or disposition activities
  • Experience coordinating records-management training, communications, or liaison activities

LOCATION
  • United States Capitol Police (USCP), Southwest Washington, DC

TELEWORK
  • Full-time onsite for the first two months; afterward, positions are generally onsite at least 2 days per week with up to 3 telework days per week, subject to USCP approval and operational needs. USCP may increase or cancel telework temporarily or permanently.

SECURITY / ACCESS
  • Ability to successfully complete a USCP criminal history check and fingerprinting before performing onsite work
  • Ability to qualify for and maintain a USCP identification/access badge for onsite duties
  • Ability to complete USCP building access forms and other required onboarding/access processing
  • Ability to protect sensitive and proprietary USCP information and comply with applicable confidentiality requirements
