The role
The Melbourne Operations team are seeking an enthusiastic Receptionist to join the team on a part-time basis. As part of a collaborative reception team, you will cover the Monday and Friday shifts, working 9:30am - 6pm (with flexibility). There is also the opportunity to increase your working hours to cover sick or annual leave within the team as well as opportunities within Catering to do evening events if applicable.
As a member of the Reception team, you will operate as the face of our firm and play a critical role in the delivery of internal and external client services. Additional training and development will be provided to the right candidate.
Our Reception team ensure that all visitors, callers and Clayton Utz Partners and employees are greeted and attended to in a responsive, friendly and professional manner with a focus on service excellence.
Key responsibilities
This varied, busy and exciting role will see you:
- Warmly and professionally greeting all visitors, ensuring they feel welcomed and looked after;
- Switchboard management, answering internal and external phone calls and ensuring their call is directed to the most appropriate person;
- Administering bookings for internal services including rooms, catering and facilities equipment via the EMS bookings system;
- Taking ownership of the presentation of the reception area and all meeting rooms and boardroom;
- Providing backup support for other roles within the team as required, including our catering and events teams; and
- Taking responsibility for administrative tasks, e.g. updating databases.
Skills & Experience
Previous experience as a receptionist or similar front of house role is highly desired.
- Room booking system and administration experience is highly desirable, training in the EMS booking system will be provided.
In addition, you will:
- Possess a friendly, positive, proactive approach to your work;
- Enjoy working with people and pride yourself in your customer service skills;
- Have impeccable grooming and a professional telephone manner;
- Be a team player who is flexible to work additional hours when requested;
- Have highly developed organisational skills, a strong attention to detail, and the ability to effectively communicate with others.
