Position Overview:
We are seeking a professional and personable Receptionist to manage our front desk and provide administrative support. As the first point of contact for our clients and visitors, the Receptionist plays a crucial role in representing Aria Signs and Design's brand and ensuring smooth day-to-day operations.
Key Responsibilities:
Front Desk Management:
Greet and welcome visitors with a warm and professional demeanor.
Answer, screen, and direct incoming phone calls appropriately.
Administrative Support:
Manage incoming and outgoing mail, packages, and courier services.
Assist with scheduling meetings and appointments.
Perform clerical duties such as filing, photocopying, and data entry.
Support various departments with administrative tasks as needed.
Client Interaction:
Provide basic and accurate information to clients and visitors regarding services and inquiries.
Coordinate with the sales and design teams to ensure client needs are met promptly.
Qualifications:
High school diploma or equivalent; associate degree or administrative certification is a plus.
Proven experience as a receptionist, front desk representative, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Professional appearance and attitude.
Ability to handle sensitive information with confidentiality.
Preferred Skills:
Familiarity with the signage or design industry.
Experience with office equipment such as printers, fax machines, and multi-line phone systems.
Bilingual abilities are a plus.
