Job Description
As the Receptionist, this position is a “front of house” brand ambassador who can embody the spirit of the brand while greeting and effectively assisting visitors, callers, and employees.
This position reports to the Facilities Manager and is based out of our Irvine, CA office.
As the Receptionist, you will have an opportunity to:
Reception / Office Administration – 50%
- Greet and announce visitors to employees
- Proactively inform Facilities Manager concerning upkeep of building
- Act as a general resource to employees
- Back up shipping representative- prepare any customs documentation necessary for export, ensure all packages are coded
- Work closely with FedEx / Customs to ensure delivery
- Processing supply orders for multiple teams
- Petty cash reconciliation
- Expense report processing- Reconcile and allocate purchasing card charges, utilize Concur to properly distinguish and code any charges
- Scanning and digitally filing invoices
- Additional administrative tasks as directed by managers
Vehicle Management – 15%
- Smog vehicles, ensure registration + insurance is up to date
- Order MTB / dirt bike parts to ensure proper functionality; utilizing resources such as sponsors and industry partners to remain within budget
- Oversee company toll road fees by authorizing payments while remaining within budget compliances
- Responsible for handlings payments and collections of tolls and violations
- Assist with handling of out of state tolls
Travel Coordination – 10%
- Assist employees with Domestic and International travel arrangements for airline, hotels and car rentals
- Coordinate arrangements with hotels for multiple departments' events while considering budget; overseeing transportation needs are met, meals, external activities, dinner coordination
Meeting Coordination – 25%
- Assist with preparations for meetings and events as needed
- Assist in conference room booking and replenishment for executive teams
- After-hour working of occasional events as needed
- Order food for meetings as requested by Managers
- Audit meeting rooms and cafeteria supplies daily
- Assist with catering set up for meetings

You have:
- Minimum 1-2 years reception and general administrative experience
- Strong knowledge of Microsoft Word, Excel and Power Point REQUIRED
- Strong knowledge of International small parcel shipping
- Bilingual in Spanish and English a plus
- Multitasking skills a must
- Must be able to communicate clearly and effectively with all departments
- Organizational skills, attention to detail skills, ability to demonstrate initiative and be pro-active, show discretion and confidentiality
- Pleasurable/friendly disposition a MUST
- Experience in corporate travel accommodations
- Fashion/Action Sports industry experience and account base knowledge
- Knowledge of other computer programs such as Photoshop and Illustrator
Pay Range:
Hourly Rate: $17.00 - $20.00
The actual annual salary offered to a candidate will be based on variables including experience, geographic location, education, and skills/achievements, and will be mutually agreed upon at the time of offer.
