Responsibilities:
- Greet Visitors:Welcome and greet visitors in a friendly and professional manner.Direct visitors to the appropriate person or department.Maintain a clean and organized reception area.
- Answer and Route Calls:Answer incoming phone calls promptly and professionally.Route calls to the appropriate individuals or departments.Take messages and convey them accurately.
- Appointment Scheduling: Schedule appointments and meetings for employees and clients. Coordinate meeting room bookings.
- Administrative Support: Assist with various administrative tasks such as data entry and photocopying. Manage and distribute incoming and outgoing mail. Maintain office supplies and reorder when necessary.
- Customer Service: Provide excellent customer service to all visitors and callers. Address inquiries and direct them to the appropriate resources.
- Security: Monitor and control access to the premises by issuing visitor badges and verifying identification when necessary. Notify appropriate personnel of security or safety issues.
Qualifications:
- 2 year degree or equivalent combination of education and experience; education or certification in office administration is a plus.
- Proven experience as a receptionist or in a similar customer service role.
- Bilingual in English and Spanish.
- Strong interpersonal and communication skills, both verbal and written.
- Familiarity with Microsoft Office Suite, Teams.
- Excellent organizational and multitasking abilities.
- Strong problem-solving skills and attention to detail.
- Knowledge of office equipment operation.
