The Automotive Receptionist is responsible for providing professional, welcoming, and positive experience for customers while supporting the daily administrative and customer service operations of the dealership. This position serves as a primary point of contact for customers by phone and in person and assists with coordinating communication between customers, service, parts, body shop, and other dealership departments.
The ideal candidate is organized, dependable, customer-focused, and able to manage multiple tasks in a fast-paced automotive environment while maintaining a professional and friendly demeanor.
Essential Duties and Responsibilities
- Greet customers promptly and professionally upon arrival.
- Answer and direct incoming phone calls and customer inquiries in a courteous and timely manner.
- Assist customers with scheduling appointments and directing them to the appropriate dealership department.
- Provide general information regarding dealership services, hours, processes, and departments.
- Assist with customer check-in and check-out processes as needed.
- Communicate effectively with service advisors, technicians, body shop personnel, management, and other dealership employees.
- Assist with maintaining accurate customer information and documentation.
- Support the body shop and service departments with administrative and customer-service-related duties.
- Assist with customer follow-up calls, appointment confirmations, and other customer communications.
- Maintain a clean, organized, and professional reception area.
- Handle customer concerns and questions professionally and escalate issues to the appropriate department or manager when necessary.
- Assist with paperwork, filing, data entry, scanning, and other administrative duties as assigned.
- Maintain confidentiality of customer and dealership information.
- Follow dealership policies, procedures, and customer service standards.

- Perform other duties as assigned.
Required Qualifications
- High school diploma or equivalent preferred.
- Previous customer service, receptionist, administrative, or automotive experience preferred.
- Excellent verbal and written communication skills.

- Ability to multitask and prioritize responsibilities in a fast-paced environment.

Preferred Qualifications
- Previous experience in an automotive dealership environment.
- Previous automotive body shop experience strongly preferred.
- Experience working with DRP (Direct Repair Program) insurance processes strongly preferred.
- Experience with body shop scheduling, repair orders, insurance-related documentation, or customer communication.
- Familiarity with automotive dealership management or estimating software.
- Previous experience coordinating with insurance companies, adjusters, or Direct Repair Programs.
- Knowledge of basic automotive terminology and repair processes.
