 Purpose of Role  

  

  • To ensure an effective and customer focused service is provided in accordance with the contract specification and agreed service levels.   
  • To develop and maintain a positive relationship with clients and customers.  
  • To provide core Lobby host services while supporting the C&W Workplace Manager in the delivery of services to the Warsaw office. 

 
 
  

Principal Responsibilities  

  • Perform general administrative duties to support day-to-day operations and Management Team meetings. Responsibilities include scheduling of meetings, ordering supplies and maintaining department records.  
  • Complete all Lobby host tasks and oversee the catering activities including meeting room reservations, timely delivery and prompt removal and disposal of catering foodstuffs as required.  
  • Develops positive relationships with clients, local management and service providers. Proactive in client assistance and promptly responds to problem and concerns that are recurring or of a sensitive nature; in line with all site rules and regulations.  
  • Complete room inspections on a daily basis and report any issues to the Workplace Manager   
  • Support in any emergency evacuation plans in capacity as fire marshal.  
  • Carry out a monthly catering invoice reconciliation with orders received.  
  • Collect outgoing mail and process for sending either through internal / external mail. This includes booking and receiving mail through courier companies.  
  • Input all job requests in FAMIS / GFSC ensure work orders are closed out daily.  
  • Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.  
  • Performs daily services within the contract standard scope of works / KPI.  
  • Assist Workplace Manager with monitoring outsourced contractors on as needed basis for safety and security.  
  • Respond to any visitor enquiries in a friendly and professional manner.  
  • Sign in all visitors and issue / retrieve visitor passes.  
  • Provide high quality customer service to both internal and external customers.  
  • Respond to client needs and coordinate resources to resolve issues.  

 

 

 

Qualities and Personal Attributes: 

 

  • Experience using MS office and other common IT programs.  
  • Minimum of 1 years’ experience working as a receptionist in a similar environment.  
  • Excellent communication skills and ability to interface at all levels.  
  • Have good anticipation, analytical skills, with problem solving aptitude.  
  • Extremely strong customer services skill.  
  • Good interpersonal skills and team building.  
  • Excellent communication skills, both written and spoken.  
  • Able to work in a team environment but also independently as required.  
  • Strong command of the English language required, other languages are a bonus.
