Under minimal supervision, the Receptionist will ensure smooth operations of the reception area. The receptionist receives visitors, ascertains the nature of their visit and announces their arrival to the appropriate colleague. This position answers, screens and directs incoming calls from the main corporate telephone line. The Receptionist provides excellent customer service and is the first point of contact for visitors of MMA.
Essential Duties & Responsibilities
- Responsible for guest reception in the main lobby area.
- Welcome visitors into the reception area.
- Ascertain the nature of their visit and assist them accordingly.
- Log visitors in the Visitor Registration and Supervision Book.
- Validate parking tickets.
- Responsible for the lobby and maintaining its professional appearance at all times.
- Answer calls and transfer calls from other MMA West locations.
- Responsible for smooth operations of the Zoom phone system.
- Answer incoming calls in a pleasant manner.
- Assess the caller’s needs and provide customer service as required.
- Responsible for recording the phone greeting for the corporate line for office closures.
- Responsible for paging associates and all general announcements.
- Miscellaneous responsibilities and Facilities Department support.
- Distribute colleague access/ID cards
- Update the display and company names on the television / display monitor in the main lobby.
- Provide clerical support for Facilities Department.
- Other duties as needed
Education and/or Experience
Successful candidate will be a service oriented individual with high personal standards, a hands-on work style and excellent communication skills. This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and managing frequent interruptions.
This position interacts with and provides service to internal associates and has high levels of contact with external vendors. The Receptionist must be positive and approachable, and work effectively with diverse personalities. In addition, the following is required:
Successful work history to include 1-3 years’ experience in a professional office setting directly related to job responsibilities specified above.
- Experience answering a multiple phone line system. (Zoom phone)
- Proficiency with personal computers and Microsoft Office applications (i.e., Word and Excel Outlook) with the ability to operate standard office equipment is required.
- Skill in organizing resources and establishing priorities.

The applicable base salary range for this role is $44,800 to $83,400.The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis.
