Provides front desk, telephone, and administrative support to ensure callers, visitors, employees, customers, and vendors receive professional and timely assistance. This role supports daily office communication, routing of information, administrative coordination, and general customer service activities in alignment with company procedures and business needs. This is a full-time position, M – F, 8:00 am – 5:00 pm.
- Answer incoming telephone calls, determine the purpose of the call, and route callers to the appropriate personnel or department.
- Take and deliver messages or transfer calls to voicemail when appropriate personnel are unavailable.
- Provide callers with basic company information, including address, directions, and general contact information.
- Welcome on-site visitors, determine the nature of business, and notify appropriate personnel of visitor arrival.
- Receive, sort, and route mail, publications, and other incoming materials.
- Monitor office supply levels and coordinate replenishment as needed, including business cards and other standard office materials.
- Prepare and print basic business documents, including fax cover sheets, memos, correspondence, reports, labels, invoices, and other materials as needed.
- Coordinate travel arrangements for employees and customers when required.
- Enter freight bills into vouchers for accounting processing.
- Update vendor acknowledgements and maintain related records.
- Update and maintain the employee phone list and related contact information.
- Assist with administrative projects and general office support as needed.
- Maintain a professional, customer-focused, and confidential approach when handling company information, visitors, employees, customers, and vendors.
- Coordinate and assist with scheduling meeting room usage, event setup and tear down, and catered meals.
- Perform other duties as assigned.
- High School diploma or GED required
- 1 year of experience of clerical, receptionist, customer service, or administrative support experience preferred
- Professional telephone etiquette and front desk communication skills.
- Customer-first work ethic with a personable and professional attitude.
- Ability to organize work, prioritize tasks, and manage multiple activities.
- Strong verbal and written communication skills.
- Ability to follow written, verbal, and diagram-based instructions.

Skills Required
