The primary responsibility of the Receptionist assigned to JCS Headquarters is to maintain the reception area and provide administrative support to the 6th floor while delivering exceptional customer service to visitors, clients, vendors, and staff. The position serves as the first point of contact for the organization by greeting and directing visitors, managing the main telephone line, coordinating visitor access, and ensuring a professional and welcoming environment.
The Receptionist provides administrative support by processing incoming packages and mail, coordinating courier and shipping services, preparing documents for distribution, and assisting with general office operations. The position also supports various agency programs through data entry, record maintenance, client communications, satisfaction surveys, financial and operational tracking, and other administrative functions to ensure efficient daily operations and continuity of services across departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• The work week will be 20 hours, 5 days from 4 PM to 8 PM
• Be at the Reception/Lobby front desk, greeting visitors, clients and vendors; after ensuring (making use of the CCTV system and buzzer) the right identification process is followed. Contact the person being visited to ensure they are waiting for the visitor, and once confirmed wait util arrival of the person being visited to pick up the visitor or direct the visitor to the right suite if different than 6th Floor
• Provide telephone coverage for the main JCS line and assistance as noted below
• Receive packages and notifications, contacting the appropriate staff for pick-up or signature
• Assist, when needed, to prepare, gather and sort documents/mail for courier to transport to other JCS offices.
• Assist, if needed, to prepare Federal Express, UPS and Postal Service special mailings and arrange for pick-up
• Any other similar duties as deemed necessary
FOR CASE MANAGEMENT/SENIOR SERVICES DEPARTMENT
• Taking phone calls for MOW weather clients or drivers and adding notes or sending emails (to Data Manager and Client Services Data Entry Specialist)
• Sending cancelation notices via mail
• Calling clients to complete Satisfaction Surveys for each program; Meals on wheels and Shopping program
• Review and process check requests across multiple entities
• Maintain and update spreadsheets with accurate financial and operational information
• Update and maintain 701-A records in NewOrg following completion of the Annual Client Review
• Update, modify, and maintain information within the ECIRTS spreadsheet to ensure accuracy and compliance
• Completing Multiple check requests (for the Administrative Officer)
• Shredding documents to prepare for moving
• Insert Documentation of Nutrition Scores, Income, and Risk Scores on NewOrg on completed annuals based on Turn around reports (for Client Services Data Entry Specialist)
• Forwarding voicemails from outside business hours to respective staff

• Very good writing skills
• Bilingual - English/Spanish, preferred
