Position Summary

The Receptionist provides administrative support and performs clerical, customer service, and non-technical duties within assigned practices or departments. This role serves as a key point of contact for patients, staff, and external partners.

Reports To  Office Manager, Supervisor, or Department Director

FLSA Status Non-exempt

Education

  • High School Diploma or equivalent (preferred)
  • Associate’s Degree (preferred)

Required Skills

  • Strong critical thinking and decision-making abilities
  • Ability to work independently with minimal supervision
  • Ability to function effectively in a fast-paced, sometimes stressful environment
  • Strong communication and organizational skills
  • Ability to handle sensitive and confidential information

Essential Functions

  • Prepare statistical reports and perform clerical duties such as:
    • Managing incoming/outgoing mail
    • Maintaining filing systems and databases
    • Typing correspondence and documents
    • Copying, scanning, and faxing
  • Greet visitors and communicate with patients, providers, and departments
  • Answer, direct, and manage phone calls and messages
  • Organize, coordinate, and schedule meetings and appointments
  • Maintain a clean and organized office environment; monitor and order supplies
  • Respond to information requests and inquiries
  • Coordinate workflow and maintain records of office activities
  • Perform basic accounting functions such as:
    • Processing invoices
    • Making deposits
    • Managing petty cash (if applicable)

Non-Essential Functions

  • Perform other duties as assigned
  • Participate in staff meetings, in-services, and committees
  • Adhere to hospital policies and procedures
  • Work scheduled shifts, including overtime if required
  • Accept call schedules as directed
  • Maintain a professional appearance in accordance with dress code

Work Environment & Demands

  • Serves both internal staff and external customers, clients, and contractors
  • Regular access to sensitive and confidential information
  • Requires the ability to work under pressure and respond appropriately
