Supervisory Responsibilities: None

Objective: The Receptionist welcomes visitors, receives incoming telephone calls, routes information to the appropriate person, and provides clerical support for the organization.  


Essential Duties:

  • Know and support the Mission Statement, Policy/Procedures, and standards of MMR.
  • Efficiently route telephone calls to the appropriate person or department.
  • Appropriately handle all walk-in traffic by responding to the individual's needs or contacting the appropriate person, while always maintaining a high level of security.  
  • Direct customers on how to make payment to MMR for ambulance transport.   
  • Maintain knowledge of all current and upcoming classes offered by the MMR Education Department. 
  • Receive initial requests for protected health information (PHI) by following HIPAA guidelines and working with the Quality Department.  
  • Receive, sort, organize, and route all incoming mail and deliveries both in person and from the fax machine. Process all outgoing UPS shipments, maintain an accurate log.
  • Assist in the employee anniversary gift process via Amazon, which includes ordering the gifts.  
  • Order office supplies for all departments. Fulfill special requests for office supplies. Monitor and compare prices to achieve best value purchases. Maintain an accurate inventory of all regular supply items to ensure that needed items are always on hand; i.e. paper, envelopes, pens, etc. Maintain an accurate accounting of supplies ordered.
  • Perform other duties as assigned.
Qualifications

Knowledge, Skill and Competency Requirements:

  • High school diploma
  • Some office experience preferred.  
  • Well-versed in office skills, including grammar, spelling, telephone etiquette and organization.
  • Ability to operate office equipment, including but not limited to, copier, fax machine, scanner.
  • Proficiency with Microsoft Word and Excel
  • Skilled in typing, data entry, electronic filing and document retrieval
  • Ability to communicate effectively both verbally and in writing, in the English language
  • Self-motivated and able to work closely with others. Work requires accuracy, attention to detail and time management skills to handle multiple projects.
  • Ability to perform a variety of tasks, often changing assignments on short notice.
  • Proactive approach to problem solving
  • Possess and maintain a valid Michigan driver license and maintain an acceptable driving record as defined by MMR’s insurance carrier
  • Must be at least 18 years old

Physical Factors: Suitable dexterity to operate standard office equipment. Capability to stand or sit for extended periods of time. Required activities: reaching, bending, stooping, grasping, feeling, repetitive motions, talking, hearing and visual activity. Capable of sitting or standing for extended periods of time.  

 

Working Conditions: Most work is done in a typical office setting. Inside generally 100%; however, may include outside work on occasion. Regular, in-person attendance is an essential function of the job. Materials and equipment used include desktop computer, telephone, fax, copier, printer and other standard office equipment.

 

Hours must be flexible to meet the demands of the office.
