Summary:
Join Veater Financial Group (VFG) as a welcoming and professional presence at the front of the office. In this role, you will help shape a positive first impression for clients, guests, prospective clients, and the public by supporting scheduling, phone and in-person communications, and day-to-day office coordination. This is a great opportunity for someone who enjoys creating a polished, service-oriented experience in a financial services environment.
Responsibilities:
Front desk operations providing phone and lobby greeting/communication coverage.
Maintain office scheduling system and coordinate President’s schedule.
With supervisor, manage the client scheduling process, assuring periodic client reviews occur consistent with company procedures and compliance requirements.
Maintain office supplies inventory and ordering including vendor listing, accounting for all expenditures and maintaining records for accounts payable.
Primary responsibility for the organization of the workroom, supplies and staff eating/kitchen areas.
Manage the overall operations of the phone, postage, virtual meeting accounts and expedited mail/package system operations, accounting for expenditures and maintaining records for accounts payable.
Update client files in the CRM system, with any new contact information, addresses etc. as it is obtained and notify supervisor.
Manage birthday, anniversary, sympathy and other special event cards sent to clients and assist with event mailings/communications as approved by supervisor.
Attend staff meetings and assist with referral dinners and other events as specifically assigned by supervisor.
Perform any other duties deemed necessary for the smooth operation of the company.
Education Requirements:
High School Diploma or equivalent (GED) required.
Basic Requirements:
Customer-service mindset with a friendly, professional, and dependable approach.
High attention to detail, accuracy, and follow-through in completing administrative tasks.
Ability to organize work, manage multiple priorities, and meet deadlines with limited supervision.
Proficiency with Microsoft Office, Outlook, and general web-based tools.
Ability to handle sensitive information with discretion and maintain confidentiality.
Strong problem-solving skills and willingness to support changing office needs.
