Position Summary:
In this role, you will serve as the first point of contact for employees, visitors, agents, and customers, creating a welcoming and professional experience while supporting the daily operations of the Home Office Business Services Team. This position is responsible for managing the front desk, answering and directing incoming calls, greeting guests, processing mail and deliveries, and providing administrative support to various departments. The ideal candidate is organized, detail-oriented, customer-focused, and able to manage multiple priorities in an office environment while maintaining professionalism and confidentiality.
Primary Responsibilities:
- Greet and assist visitors, clients, vendors, and employees in a professional, friendly, and courteous manner.
- Serve as the primary point of contact for the Home Office by answering, screening, and directing incoming telephone calls promptly and accurately.
- Maintain the reception area, lobby, and common areas to ensure a clean, organized and welcoming environment.
- Receive, sort, distribute and prepare incoming and outgoing mail, packages, and deliveries.
- Coordinate visitor check-in procedures and notify employees of arriving guests.
- Operate standard office equipment, including multi-function copiers, scanners, and telephone systems.
- Foster positive working relationships with employees across all departments by providing timely and professional customer service.
- Follow company policies, procedures, and security protocols for visitors and building access.
- Perform other duties and special projects as assigned to support business operations.
Qualifications:
- Must be legally authorized to work in the United States
- Minimum of one to two years of receptionist, administrative, customer service, or office support experience is preferred.
- Experience in a corporate or professional office environment is preferred.
- Insurance industry experience is a plus but not required.
- Excellent verbal and written communication skills with a professional and courteous demeanor.
- Strong customer service and interpersonal skills with the ability to interact effectively with employees, customers, vendors, and visitors.
- Exceptional organization skills with the ability to prioritize tasks, manage multiple responsibilities and meet deadlines.
- Strong attention to detail and accuracy in completing administrative tasks.
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Ability to learn and use company software, telephone systems, and office equipment.
- Self-motivated, dependable, and able to work independently with minimal supervision while also contributing as a collaborative team member.
- Professional appearance and demeanor consistent with serving as the first point of contact for the organization.
