The role of the Receptionist is to provide a first-class professional support service to partner(s)/fee earner(s) and offer a high service level to all visitors.
Job Description
To comply with Saudi Arabian nationalization law, AS&H Clifford Chance must hire nationals from Saudi Arabia for this role
The Role
A key attribute of the role will be to develop positive and collaborative working relationships with the Management team and other staff from all departments in Riyadh. Extending this collaborative approach by building a global network across all regions.
Specific areas of focus will vary over time and according to the requirements of the team of fee-earners, but this role will be required to perform tasks within each of the following categories:
Key responsibilities and objectives:
- Front Desk Management:
- Greet and welcome visitors in a warm and professional manner, ensuring they are properly directed to their destination.
- Answer, screen, and forward incoming phone calls, taking messages when necessary.
- Prepare and maintain a clean, organized, and presentable reception area and meeting rooms at all times.
- Visitor/Client Coordination with wider office.
- Manage visitor check-in and check-out procedures, including maintaining visitor logs, issuing visitor badges along with Business Gate access.
- Open communication between employees with notification of visitor arrivals and coordinate with security as needed.
- Provide information and assistance to visitors, ensuring a positive experience.
- Administrative Support:
- Scheduling and coordinating meetings, using calendar and booking room applications and full catering service if required.
- Respond to inquiries from employees, visitors, and callers with accurate information and a helpful attitude.
- Handle customer and client inquiries or direct them to the appropriate department or individual.
- Address and resolve basic issues or escalate them to the relevant department for further assistance.
- Compliance & Confidentiality:
- Ensure compliance with company policies, including visitor management and security procedures.
- Handle sensitive information with confidentiality and discretion.
Qualifications
Your Experience
- We are looking for candidates with experience of working in a corporate reception environment and with extensive administrative experience.
- You will have excellent communication skills and the ability to demonstrate good use of your initiative and a pro active approach to work.
- You will be bilingual (English & Arabic)
- Highly organized, efficient and able to prioritise a high volume of tasks both daily and ongoing.
- Resilience and working well under pressure is key, maintaining a calm exterior towards Clients and colleagues, demonstrating at all times a "whatever it takes" philosophy to meet and exceed clients expectations.
- Demonstrate an intelligent and practical approach to problem solving, being able to take responsibility for issues that may arise and following them through to successful resolution.
- Technically minded, with a will to continuously develop both personally and our offering for client service excellence. A confident approach to suggest any improvements in keeping with our local cultural values. A high level ability to use all available office equipment and software for adaption to best serve the needs of the office and our professional client experience.
