Role Overview

The Receptionist & Office Assistant is part of Facility Team  based at the Novara office. The resource will report to the Facility Manager and will be responsible for managing daily office operations and providing administrative support.

Key Responsibilities

  • Welcome and assist visitors, ensuring a professional reception experience.

  • Coordinate with suppliers and service providers, ensuring smooth office operations.

  • Oversee the booking and management of the pool car, managing booking, key handling and ensuring compliance with company policy

  • Support the management of the company car fleet assigned to employees, including coordination and administrative follow-up where required.

  • Maintain office supplies inventory, placing orders as needed to ensure adequate stock levels.

  • Provide with general administrative tasks, including meeting room bookings and internal communications.

  • Support the management and tracking of mandatory compliance training (D.Lgs. 81/08), liaising with both employees and external training providers and monitoring deadlines.

  • Manage supplier and contractor access to site, including verification of required documentation and preparation/management of safety-related documentation.

  • Support the organisation and logistical coordination of internal events and training sessions, working cross-functionally with different teams (e.g. IT, HR, Facilities).

Your Talent:

  • Previous experience in a similar role.

  • Flexibility and ability to work according to priorities.

  • Excellent teamwork and collaborations skills.

  • Solid Microsoft office knowledge: (Excel, Word, Power point).

  • Good knowledge English.
