The Business Office Receptionist supports dealership and business office operations by providing exceptional customer service and administrative support to customers, employees, applicants, vendors, and visitors. This position serves as a primary point of contact for the Business Office, manages incoming calls and visitors, and assists with various administrative functions. The ideal candidate is professional, organized, dependable, and comfortable managing multiple priorities in a fast-paced automotive dealership environment.

Business Office Receptionist Responsibilities
- Open and close the front desk and lobby area on time and maintain a clean, organized, and professional reception area
- Greet and assist customers, employees, applicants, vendors, and other visitors in a friendly and professional manner
- Answer incoming telephone calls promptly and professionally, determine the purpose of each call, and transfer callers to the appropriate person or department
- Provide callers and visitors with general dealership information, including address, directions, department locations, and other information as appropriate
- Accurately record messages and information received by telephone or in person and enter information into applicable computer systems as needed
- Ensure visitors follow established sign-in, sign-out, and security procedures
- Notify employees and recruiters when appointments, applicants, or other visitors have arrived
- Receive, log, sort, and distribute mail, packages, and deliveries throughout the Business Office
- Contact office equipment vendors and maintenance personnel when equipment or building concerns arise
- Prepare, stock, and maintain the office coffee and refreshment area
- Assist applicants with general instructions regarding the Company's online application process
- Provide administrative support to Human Resources and Recruiting; scheduling appointments, assisting with job postings, preparing materials, and supporting recruiting events as assigned
- Maintain the Company directory and ensure information is updated accurately and consistently
- Assist the CFO, Human Resources and other departments with administrative duties and special projects as needed
- Perform general clerical duties, including data entry, scanning, filing, copying, document preparation, and records organization
- Assist with training and supporting student interns assigned to the Business Office
- Maintain confidentiality of customer and Company information
- Maintain a professional and welcoming atmosphere in the reception and lobby areas at all times
- Perform additional duties as assigned

- Ability to communicate professionally and effectively with customers, employees, applicants, vendors, and visitors
- Strong attention to detail with the ability to accurately enter, transfer, and verify information
- Comfortable answering and routing a high volume of telephone calls while assisting visitors and completing administrative responsibilities
- Ability to prioritize assignments and manage multiple tasks and interruptions while remaining professional and composed
- Proficient with Microsoft Outlook and other standard office computer programs; Microsoft Excel experience is a plus
- Ability to learn and effectively use dealership and Company computer systems
- Professional, dependable, punctual, and able to maintain confidentiality
- Ability to work independently as well as collaboratively with multiple departments
- Ability to receive assignments from multiple individuals and complete work accurately and within established deadlines
- Positive, courteous, and professional demeanor, including during busy periods
- Previous receptionist, customer service, office administration, or automotive dealership experience preferred
Corporate requirements: Must be 18 years or older with a valid driver's license and clean driving record, able to pass a criminal background check and pre-employment drug screen.
