The Administrative Assistant (Receptionist) will play a critical role in providing administrative and clerical support to ensure the efficient operation of the facility. This position will involve a variety of tasks, including managing communication, coordinating schedules, maintaining records, and supporting both staff and residents with administrative needs.
Key Responsibilities:
- Greet visitors and direct them to the appropriate departments or personnel with warmth and professionalism.
- Answer and manage incoming phone calls, emails, and mail correspondence.
- Assist in scheduling appointments, meetings, and maintaining calendars for leadership staff.
- Maintain accurate and organized filing systems, including resident records and administrative documents.
- Prepare letters, reports, and other documents as needed.
- Support human resources functions, including onboarding new employees and maintaining personnel records.
- Order office supplies and maintain inventory levels.
- Assist with billing, data entry, and basic bookkeeping tasks.
- Collaborate with various departments to ensure administrative needs are met.
- Uphold the mission and values of the Sanctuary of Holy Cross in all interactions.
Qualifications:
- High school diploma or equivalent required; associate’s degree preferred.
- Minimum of 2 years of administrative or clerical experience, preferably in a healthcare or long-term care setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Ability to work independently and as part of a team.
- Compassionate demeanor and commitment to serving the needs of residents and staff.
- Knowledge of medical terminology and healthcare systems is a plus.
