Position Title
Receptionist / Escrow Coordinator
Position Summary
The Receptionist / Escrow Coordinator serves as the first point of contact for customers, agents, lenders, and visitors while providing critical administrative and operational support to the escrow team. This dual-role position is responsible for maintaining a professional front office environment, managing daily reception functions, and performing various escrow-related administrative and transaction support duties throughout the closing process. The ideal candidate will possess strong customer service skills, excellent organizational abilities, and prior escrow experience.
Essential Duties and Responsibilities
Reception & Office Administration
- Greet and assist all visitors, clients, and business partners in a professional and welcoming manner.
- Answer, screen, and direct incoming phone calls.
- Manage conference room scheduling and ensure conference rooms are clean, organized, and ready for meetings.
- Maintain a clean, professional, and organized reception area and common office spaces.
- Monitor and replenish office, kitchen, and meeting room supplies.
- Receive, sort, and distribute incoming mail and deliveries.
- Coordinate outgoing mail, courier services, and package shipments.
- Provide general administrative support to branch management and staff as needed.
Escrow Support Functions
- Open and set up new escrow orders in accordance with company procedures.
- Prepare and process escrow-related documentation and files.
- Assist with funding transactions and disbursement of funds.
- Prepare and make daily bank deposits.
- Coordinate the recording of documents with appropriate county offices and agencies.
- Review files for completeness and accuracy prior to closing and post-closing activities.
- Maintain accurate electronic and physical transaction files.
- Communicate with escrow officers, clients, lenders, real estate agents, and vendors regarding transaction requirements and status updates.
- Support the escrow team with data entry, document distribution, reporting, and other administrative functions.
- Ensure compliance with company policies, industry regulations, and escrow procedures.
- Perform additional escrow-related duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Minimum of 2 years of escrow experience preferred.
- Previous experience in a receptionist, administrative support, or customer service role preferred.
- Knowledge of escrow processes, title industry practices, and closing procedures.
- Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
- Familiarity with escrow and title production software preferred.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills.
