The Role:

The Reception & Team Assistant plays a vital role in ensuring the smooth day-to-day operation of our Madrid office, while also contributing to regional initiatives across EMEA.

This role is responsible for delivering an exceptional experience for employees, customers, and visitors, maintaining a safe and compliant environment, and supporting broader facilities and operational goals.

The position requires a proactive, organized, and service-oriented individual who can manage multiple responsibilities and collaborate effectively with internal teams and external partners.

Language proficiency: Must speak and write fluently in English and Spanish.

Your Impact:

  • Ensure the smooth day-to-day running of the office and showroom, maintaining a clean, safe, and welcoming environment for employees, customers, and visitors. This includes managing consumables, coordinating with contractors, and being the face of the company at the site.

  • Carry out regular compliance and health & safety checks, maintain documentation, support training coordination, and manage a high volume of Facilities Purchase Orders (POs) — ensuring accuracy, budget alignment, and timely processing across multiple vendors.

  • Support your primary site and any new or future locations in your region, assist with courier and sustainability processes, contribute to EMEA-wide initiatives, and collaborate with other Reception / Team Assistants to share best practices and streamline operations. Support with the organization and smooth-running of regional events (Charity & Social).

  • Provide high-level service, coordinate lunches, team events, and charity initiatives.

  • Manage courier services at site level and support EMEA-wide process improvements.

  • Assist with new site openings, sustainability reporting, and showroom logistics.

Who You Are:

  • You have great organizational skills with the ability to manage multiple tasks and ensure smooth day-to-day office operations.

  • Ability to work effectively in a fast-paced, multicultural environment.

We would Love to Hear from People with:                

  • Experience in reception, front desk, or administrative support roles

  • Hands-on experience with purchase order (PO) invoicing, including processing, tracking, and liaising with finance teams or vendors

  • Experience managing courier services

  • Familiarity with booking systems, visitor management tools, and basic office equipment

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required; certification is a plus

  • Language proficiency: Must speak and write fluently in English and Spanish.
