Teladoc Health connects patients with licensed doctors, therapists, and specialists entirely through phone, video, and mobile apps — no in-person visit needed. It covers general medical care, mental health therapy, chronic condition management (diabetes, hypertension), and expert second opinions. The role will be responsible for managing and monitoring Office Management operations, providing support across all areas of the company to ensure the overall smooth functioning of the office, in line with stakeholder needs and the organization’s established standards.
Responsibilities:
- Answering and managing incoming calls
- Managing access control and external visitors
- Coordinating the internal preparation of shipments
- Registering, tracking, and monitoring shipments in collaboration with courier platforms
- Requesting, monitoring, and managing third-party pickups
- Managing office supplies inventory
- Vendor management (maintenance, office supplies, cleaning services, etc.)
- Handling complaints and incidents
- Coordinating meeting room booking calendars
- Preparing materials for training sessions and external meetings
- Organizing corporate catering for meetings and celebrations
- Supporting general services
- Requesting, managing, and tracking business travel for executives, department heads, general services, and external staff
- Support the creation and formatting of internal and external documents, presentations, and materials, ensuring brand consistency and visual quality
- Collaborate with relevant teams to maintain updated and visually appealing front-desk and office communications (signage, announcements, newsletters, etc.)
Experience:
- Minimum of 1 year of experience in a similar role (Receptionist, Event Coordinator, Administrative Assistant, etc.)
- Required: Advanced and/or native-level proficiency in Spanish and English
