CONTEXT: The Operational Systems Program Manager is responsible for leading and coordinating operational programs, systems, and process improvement initiatives across a fast-paced operations environment. This role oversees the implementation, integration, optimization, and long-term effectiveness of operational and business systems that support field operations, reporting, communication, and overall organizational performance.

This individual will work cross-functionally with leadership, operations teams, vendors, and internal stakeholders to ensure systems and operational processes are standardized, scalable, and aligned with business objectives. The ideal candidate is highly organized, process-driven, analytical, and capable of managing multiple initiatives simultaneously while driving operational efficiency and accountability.

RESPONSIBILITIES:

Program & Operational Strategy

  • Develop and execute operational programs, implementation plans, and system initiatives aligned with company objectives.
  • Identify opportunities to improve operational efficiency, reporting, communication, workflow processes, and system utilization.
  • Support continuous improvement initiatives across operations and administrative functions.
  • Assist leadership in developing scalable operational processes and system standards.

Project & Program Management

  • Manage multiple operational projects and system-related initiatives simultaneously.
  • Coordinate efforts between operations leadership, field teams, vendors, and internal departments to ensure successful implementation and adoption.
  • Track project timelines, deliverables, risks, dependencies, and implementation progress.
  • Ensure operational programs and systems are being utilized effectively and consistently across the organization.

Systems Implementation & Optimization

  • Lead implementation, rollout, and ongoing optimization of operational and business systems.
  • Coordinate integration efforts between software platforms, operational workflows, and business processes.
  • Establish and maintain system documentation, workflows, best practices, and operational standards.
  • Conduct quality control reviews and audits to ensure system accuracy, consistency, and effectiveness.
  • Monitor user adoption, system performance, and operational impact, identifying areas for improvement.
  • Coordinate troubleshooting, upgrades, maintenance efforts, and vendor communication related to operational systems.

Stakeholder Communication & Support

  • Serve as a key point of contact for operational systems and program initiatives.
  • Provide regular progress updates, reporting, and recommendations to leadership.
  • Gather feedback from operational and support teams to improve processes and system functionality.
  • Support training and change management efforts to encourage adoption and operational consistency.

Performance Monitoring & Reporting

  • Monitor KPIs, system utilization, and operational performance metrics.
  • Prepare reports and dashboards related to project status, operational improvements, adoption metrics, and implementation outcomes.
  • Ensure compliance with company policies, operational procedures, and system standards.

QUALIFICATIONS:

  • Bachelor’s degree in Business, Operations, Engineering, Information Systems, Construction Management, or related field preferred.
  • 5+ years of experience in operations management, program management, systems implementation, operational excellence, or related roles.
  • Experience supporting operational systems, ERP platforms, dispatch systems, project management software, or workflow/process improvement initiatives preferred.
  • Strong organizational, analytical, and project management skills.
  • Ability to manage multiple priorities in a fast-paced operational environment.
  • Strong communication and cross-functional leadership abilities.
  • Process-oriented mindset with a focus on operational efficiency and continuous improvement.
  • Proficiency with Microsoft Office Suite and operational/business software platforms.

Skills Required

  • Bachelor’s degree in Business, Operations, Engineering, Information Systems, Construction Management, or a related field
  • 5+ years of experience in operations management, program management, systems implementation, operational excellence, or related roles
