Essential Duties and Responsibilities:
- Auditing Delivery Compliance – Verify healthcare deliveries meet customer requirements, documentation standards, and applicable temperature-control requirements.
- Quality Management System (QMS) Administrator – Maintain, update, and support the ongoing improvement of the Quality Management System, including controlled documents, databases, SOPs, process instructions, and quality records, in compliance with ISO 9001:2015 requirements.
- Nonconformance Management – Log, investigate, and document service failures, delivery discrepancies, and procedural deviations; initiate corrective and preventive actions (CAPA) as required.
- Audit Support – Conduct routine spot checks and internal audits to ensure adherence to SOPs and ISO standards, including auditing control tower shipment and driver pairings to confirm customer requirements are met; assist assigned locations in maintaining internal audit programs using SafetyCulture.com (or similar audit platforms); assist with preparation for and participation in internal and external ISO audit.
- Data Collection and Reporting – Track daily quality and performance metrics (e.g., on-time delivery, temperature compliance, customer complaints) and prepare dashboards and reports for management review, provide regular updates on issues, trends, and corrective action status to Quality and Operations teams.
- Training/Orientation Compliance – Review and verify employee training and driver orientation records to monitor accuracy and compliance, including random audits of competency records in accordance with ISO 9001:2015.
- Vendor Compliance – Maintain and manage an approved vendor and contractor list, ensuring ongoing qualification, verification, and removal as necessary.
- Inspection Readiness – Support terminal and storefront locations to prepare them for management reviews and maintain readiness for client quality inspections and assessments.
- Quality Reporting – Research and communicate quality findings, trends, and updates to cross-functional teams through meetings, presentations, and written reports.
- Perform other duties as assigned.
Knowledge, Skills, and Abilities:
- Strong attention to detail and analytical skills, with the ability to identify trends, gaps, and risks within operational and quality data.
- Working knowledge of quality systems and ISO-aligned processes, including CAPA, internal auditing, and document control.
- Ability to interpret and apply customer, regulatory, and internal quality requirements within a fast-paced operational environment.
- Ability to support and facilitate continuous improvement initiatives using tools such as PDCA, root cause analysis, and process mapping.
- Effective verbal and written communication skills, with the ability to clearly communicate quality findings, requirements, and recommendations to cross-functional teams.
- Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Ability to work cross-functionally with operations, customer service, and leadership teams to resolve quality-related issues.
- Proficient in Microsoft Office applications, including Excel and Word; experience with Power BI or other reporting and visualization tools preferred.
Education, Experience, Certificates, and Licenses:
- High school diploma or equivalent required; Bachelor’s degree in Quality Management, Business, Logistics, or a related field preferred.
- Five (5) or more years of quality assurance experience within logistics, transportation, healthcare distribution, or a similarly regulated operational environment.
- Demonstrated hands-on experience working within an ISO 9001:2015 Quality Management System, including participation in audits and ongoing compliance activities.
- ISO 9001:2015 Internal Auditor certification preferred, or the ability to obtain certification within a reasonable timeframe.
