The Public Relations & Communications Manager creates and maintains clear, consistent internal and corporate communications through writing, editing, and publishing, while managing the internal-communications CRM, the editorial calendar, and the organization's media database and distribution lists. Prepares and distributes executive thought-leadership content and supports media relations at the direction of the Chief Communications Officer, and uses AI tools to work efficiently while maintaining accuracy and brand voice.
Duties / Responsibilities:
- Own and maintain the internal-communications CRM (HubSpot) as the system of record; build, schedule, segment, and measure internal campaigns and newsletters.
- Own and maintain the editorial calendar at the direction of the Chief Communications Officer, planning content ahead across internal and corporate channels.
- Keep the company's media database and distribution lists current and accurate in Meltwater, including contacts, segments, and media lists.
- Prepare and draft executive thought-leadership content — bylines, talking points, posts, and award and speaking submissions — and distribute it on the cadence and approval set by the CCO.
- Contribute to social media content and the social content calendar, sourced from press releases and internal awards and accolades.
- Plan and deliver internal communications on a reliable cadence, aligning distribution timing with the executive (C-suite) notification and approval managed by the CCO.
- Support the CCO's media relations by preparing press releases and media materials, maintaining media lists, and tracking coverage; media pitching and spokesperson duties are led by the CCO.
- Maintain a clear, holistic projects-and-status list and report status proactively and completely, so leadership always has visibility into what is in flight and what is due.
- Take communications to a ready-to-send state and follow up on outstanding inputs and approvals so work is not delayed.
- Write and edit executive bios, speeches, internal announcements, and corporate messaging that reinforce a consistent organizational voice.
- Research and develop white papers, articles, and blog posts on technology and innovation across product lines and processes.
- Use AI tools (such as Claude) to draft, edit, summarize, research, and report more efficiently and consistently, in line with company AI policy, while safeguarding brand voice and accuracy.
- Partner with the brand-experience and events teams on communications for regional activations, events, facility tours, and product demonstrations.
- Monitor employee, customer, and community sentiment and assist in producing relevant, timely communications, including escalations when needed.
- Participate in creative meetings, copy-drafting sessions, and interdepartmental meetings, and attend select field, town-hall, civic, and B2B events to stay close to employee and customer sentiment.
