The role:
The Proposals Specialist is responsible for managing the preparation, coordination, and submission of proposals in response to client requests, including Requests for Proposals (RFPs), Requests for Information (RFIs), security questionnaires, and vendor applications. This role involves close collaboration with sales, technical, legal, CISO, and other internal teams to produce high-quality, compliant, and compelling proposals that effectively address client needs and align with organizational goals.
What you will do:
Proposal Management and Development
- Analyse RFPs, RFIs, security questionnaires, and vendor applications to determine project requirements, timelines, and deliverables.
- Develop detailed project plans, outlines, and schedules.
- Coordinate and lead kickoff meetings, assigning responsibilities, and ensuring all stakeholders are informed of deadlines.
Content Creation and Editing
- Write, edit, and format proposal sections, ensuring clarity, consistency, and compliance with client requirements.
- Tailor content to address client-specific needs, highlighting organisational strengths, and value propositions.
- Collaborate with subject matter experts (SMEs) to gather technical and operational details.
Collaboration and Coordination
- Liaise with internal teams (sales, technical, finance, legal, CISO, etc.) to gather required information and approvals.
- Facilitate regular progress meetings and provide updates to ensure adherence to deadlines.
- Serve as the central point of contact for all proposal-related communications.
Compliance and Quality Assurance
- Ensure all proposals meet internal and client-defined requirements, including formatting, content, and submission standards.
- Conduct final reviews to confirm accuracy, completeness, and compliance.
- Maintain version control and document management throughout the project.
Process Improvement and Knowledge Management
- Develop and maintain a repository of proposal templates, past proposals, and boilerplate content.
- Identify and implement best practices to improve proposal development efficiency and effectiveness.
- Provide feedback and lessons learned post-submission to enhance future projects.
Tracking and Reporting
- Track and report the status, outcome, and success rate of projects.
- Support post-award debriefs and incorporate client feedback into future projects.
What we expect:
- Minimum 3-5 years experience in proposal management
- Proficient with Word, Excel, Google Drive, Mac OS, Salesforce, etc.
- Experience with Responsive/RFPIO and/or other content management databases
- EMEA based
- Prefer bilingual, ideally fluent in English and German
- Familiarity with online portals (i.e., Ariba, Coupa, ProcessUnity)
