Under the direction of the Proposal Manager, respond to the company’s requests for proposals (RFP) to maximize new business opportunities and retain current clients. Responsibilities include working closely with the sales team; writing, editing, and maintaining proposal content in a proposal management system; establishing and following a project timeline; formatting and finalizing best-in-class proposals; holding post-submission debriefings, and reporting results to management.
Essential Duties & Responsibilities- Manage the on-time delivery of new business and defensive proposals from start to finish.
- Schedule and lead kick off meetings, focusing on learning about the prospect/client, establishing win themes, and providing clear direction for next steps for successful project completion.
- Create proposal delivery timeline and clear expectations for sales and proposal team’s response.
- Populate proposal from boilerplate content maintained in RFP database.
- Research prospect and customize boilerplate content to address prospect’s industry, challenges, and culture.
- Write executive summaries, and new material as needed.
- Edit proposal content provided by sales.
- Access internal resources such as graphic design, desktop publishing, printer, and mailroom as needed to deliver best-in-class, on-time response.
- Proactively direct finalization and delivery, communicating as needed with management, technical personnel and various teams.
- Proactively participate in developing new content for use in proposals.
- Work with subject matter experts to create and update written content.
- Collaborate with the internal creative team to create new graphics.
- Maintain and leverage the resources of the proposal management/database system.
- Audit database at regular intervals to eliminate redundancies.
- Collaborate with the national RFP team for best-in-class proposal content.
- Generate reports as required.
- Serve as a peer editor and copywriter in the Corporate Communications Department.
- Assist with drafting and/or editing colleague biographies, press releases, articles, marketing collateral, and other content as needed.
Successful candidate will be a service oriented individual with high personal standards and a hands-on work style. This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and deadlines simultaneously, adjusting priorities often, and managing frequent interruptions.
This position interacts with and provides service to a large group of internal associates. The Proposal Writer must be positive and approachable, and work effectively with diverse personalities. In addition, the following is required:
Successful work history to include 2 years of experience in a professional office setting directly related to job responsibilities specified above.
- Bachelor’s Degree in English, Communications or other related area of study strongly preferred.
- APMP certification or willingness to earn.
- Excellent written and verbal communication skills required. Strong knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
- Experience creating and writing proposals.
- Proficiency with personal computers and Microsoft Office applications (i.e., Word, Excel and PowerPoint) with the ability to operate standard office equipment is required.
- Skill in organizing resources and establishing priorities to effectively meet multiple deadlines.
- Demonstrated ability to resolve problems and present results neatly, with clarity and precision in oral and written form.
- Demonstrated ability to develop, plan, and implement short- and long-range goals.
- Maintain a valid Driver’s License & have reliable transportation.
- Ability to use computer keyboard and sit in a stationary position for extended periods.
- Work is performed in a typical interior office work environment.
- Ability to work overtime as needed.

The applicable base salary range for this role is $56,800 to $105,900.The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis.
