Job DescriptionAECOM is actively seeking a highly motivated Proposal Operations Specialist to join our Buildings and Places (B+P) group in our Arlington, VA office; however, this position can be fully Remote. This position will provide administrative support to Program Managers, Capture Managers, Client Account Managers, and practice leadership throughout the opportunity and proposal lifecycle. The position will help maintain consistency, accountability, and visibility across active pursuits by coordinating proposal activities, maintaining key information, tracking outstanding actions, and reporting status and risks to practice leadership.
This position offers the flexibility of a remote work schedule and can be based from a variety of locations in the US where AECOM has an office.
Although the position is primarily remote periodic travel may be required for client meetings, key project milestones, onsite collaboration sessions, or other business‑critical activities. Travel is expected to be occasional and scheduled in advance

Key Responsibilities:
- Coordinate new opportunity intake and maintain accurate pursuit records, including opportunity status, discernment decisions, Capture Manager and Program Manager assignments, key milestones, client communications, and required follow-up actions.
- Support initial proposal setup, organize required documentation, maintain proposal schedules and checklists, and track compliance with established proposal and project setup procedures.
- Coordinate inputs from Program Managers, Capture Managers, technical disciplines, finance, and other contributors; track deadlines and outstanding actions; document decisions; and escalate potential schedule or process issues.
- Coordinate pursuit staffing plans, collect and maintain employee raw labor rates and other pricing inputs, track proposed team members, and maintain current resumes and qualifications for use in proposals.
- Coordinate and maintain historical project fee, spend, staffing, duration, and other relevant information to support development and validation of future proposal budgets.
- Track communication, staffing requests, pricing inputs, commitments, and outstanding actions associated with domestic and international production and delivery teams supporting project pursuits.
- Maintain current reporting on active pursuits, upcoming deadlines, outstanding actions, staffing or pricing gaps, client and contractual matters, and items requiring leadership attention.
- Process Improvement: Support continuous improvement of proposal templates, trackers, checklists, reporting tools, and standard operating procedures to improve consistency and proposal turnaround.
- Issue Escalation: Identify and escalate missed deadlines, incomplete information, resource conflicts, process gaps, and other issues that could impact proposal delivery.
Minimum Qualifications:
- BA/BS + 2 YORE or demonstrated equivalency of experience and/or education
- Experience supporting proposals, pursuits, business development, project operations, or similar activities within a professional services environment.
- Demonstrated ability to coordinate multiple concurrent activities, stakeholders, and deadlines.
- Strong organizational skills with attention to detail and follow-through.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Excel, Word, PowerPoint, Teams, SharePoint, and related business collaboration tools.
- Ability to organize and maintain complex project, staffing, financial, and client information.
- Ability to communicate effectively with project teams, senior leadership, finance, technical professionals, and geographically dispersed teams.
Preferred Qualifications:
- Bachelor's degree in Business, Marketing, Communications, Architecture, Engineering, Construction Management, or a related discipline, or equivalent relevant experience.
- Local to AECOM’s Arlington, VA office.
- Direct experience supporting data center projects.
- Experience within the architecture, engineering, construction, data center, mission-critical, or professional services industry.
- Experience supporting multidisciplinary proposals or complex project pursuits.
- Familiarity with professional services staffing plans, labor rates, fee development, and proposal budgets.
- Experience understanding client contracts, Master Service Agreements, account information, or commercial documentation.
- Experience coordinating with international or remote production and delivery teams.
- Experience developing or maintaining dashboards, automated trackers, Power BI reporting, or similar tools.
- Relocation is not available for this role.
