Position Summary

JBPro is seeking a detail-oriented Proposal & Marketing Coordinator to lead the day-to-day coordination and production of RFQ and RFP responses while supporting select company marketing initiatives. This role works closely with the Business Development Director, department leaders, and project managers to keep proposals organized, on schedule, accurate, and visually consistent.

Proposal coordination is the first priority of this position. The coordinator will manage schedules, assemble and edit content, design submissions, and hold contributors accountable to internal deadlines. Project managers and department leaders remain responsible for providing accurate technical content, project descriptions, employee resumes, and timely reviews.

As capacity allows, the coordinator will also help JBPro strengthen its in-house marketing capabilities through website updates, company social media, graphic design, and marketing collateral. This is a strong opportunity for an early-career professional who is organized, comfortable following up with senior staff, and interested in learning the architecture, engineering, and construction industry.

What You'll Do
  • Track proposal opportunities and coordinate the full RFQ/RFP process, including kickoff meetings, schedules, responsibilities, internal deadlines, reviews, approvals, and submissions.
  • Work with project managers, department leaders, and other contributors to collect accurate, complete, and timely proposal information.
  • Assemble, edit, proofread, format, and design professional proposal packages that meet submission requirements and brand standards.
  • Monitor progress, follow up on outstanding information, and alert the Business Development Director when deadlines, competing priorities, or submissions may be at risk.
  • Maintain proposal templates, employee resumes, project descriptions, qualifications materials, and other reusable content.
  • Help bring marketing activities in-house by supporting website updates and creating company social media content focused on projects, services, awards, community involvement, and company accomplishments.
  • Design and update presentations, advertisements, marketing collateral, and other branded materials.
  • Collaborate with HR on employment branding, assist with occasional company and project photography, and support other marketing initiatives based on proposal workload, company priorities, and individual strengths.

Requirements
  • Experience creating professional documents, presentations, or other designed materials. Experience with Adobe InDesign is preferred, but training may be provided for a candidate with strong transferable skills.
  • Strong organization and follow-through skills.
  • Strong writing, editing, and proofreading skills, with the ability to organize complex information clearly.
  • Confidence following up with contributors, asking questions, and escalating concerns when information or deadlines are at risk.
  • Ability to work independently while asking questions and escalating concerns when needed.
  • Interest in learning the architecture, engineering, and construction industry.

Preferred:

  • Experience coordinating proposals, qualifications packages, presentations, or other deadline-driven documents.
  • Experience maintaining website content or working within a content management system.
  • Experience with social media scheduling, content creation, or graphic design.
  • Experience with CRM, project, or content databases, including HubSpot.
  • Experience in architecture, engineering, construction, professional services, or another deadline-driven industry.
