About the Role


We are searching for an organized and detail-oriented Project Administrator to support the successful deployment of CaptivateIQ software for our customers. As a member of the Product Solutions organization, you will provide project management support for a team of consultants working on multiple, concurrent deployments. You will ensure that the established project management framework is followed and foster transparency and accountability around process both internally and externally. 


The Product Solutions Team is growing rapidly, and we’re laser focused on efficiency and scalability. You will have the opportunity to deepen your project management expertise by supporting a wide range of projects, leveraging project management software such as Smartsheet, and proposing and implementing process improvements that provide an even better customer experience. 


Responsibilities

  • Manage the end-to-end project delivery process by coordinating customer, partner, and internal staff to ensure successful implementations
  • Create and maintain customer-facing project plans and resources in Smartsheet 
  • Host project kick-off calls to review roles, a project timeline, milestones, and deliverables 
  • Host and/or attend internal and customer calls to communicate project status, as needed 
  • Monitor progress of projects to ensure alignment with SOW terms and timeline 
  • Facilitate customer change requests as needed
  • Maintain oversight of project status and performance across multiple consultants 
  • Work with Product Solutions management to resolve customer escalations
  • Collaborate with various CaptivateIQ teams to streamline and complete customer requests
  • Tailor your level of support and involvement based on customer needs, project complexity, and other factors 
  • Provide administrative support to internal and partner consultants, as needed
  • Interact with platforms supporting our Product Solutions team, including, but not limited to: Smartsheet, DocuSign, Google Suite, Salesforce, Notion, and Slack
  • Create and maintain reports and dashboards on performance across a portfolio of projects, making data-driven observations and recommendations 
  • Thoughtfully transition engagements from Product Solutions to Customer Success including sharing project summaries and facilitating knowledge transfers 

Requirements

  • 3+ years of professional experience, preferably in project management or consulting services of SaaS business applications such as CRM, ERP or HR
  • Ability to manage a large portfolio of engagements simultaneously
  • Excellent organization skills, attention to detail, and driven to get things done
  • Ability to collaborate with a variety of stakeholders to achieve complex outcomes 
  • Demonstrated skills in internal and external customer service and relationship management
  • Clear communication skills
  • Adaptable; able to navigate uncertainty and change
  • Open to learning new knowledge domains and skills, open to new ideas
  • Maintain a sense of urgency to move fast and drive results
  • Show integrity, transparency, and reliability in all aspects of your work
  • Passion for continuous improvement
