Position SummaryThe Project Support Specialist provides administrative and project support to Project Managers, Right of Way Supervisors, and Field Agents throughout the life of utility infrastructure projects.
This role focuses on maintaining project databases, supporting project reporting, assisting with document management, and helping field personnel efficiently navigate project systems and processes. While this position provides administrative support to project teams, it is not intended to replace the responsibilities of field personnel. Instead, it serves as a resource that improves project efficiency and data quality while allowing field staff to remain focused on landowner engagement and project execution.
Primary Responsibilities- Provide day-to-day administrative support to Project Managers and Right of Way Supervisors.
- Assist field personnel with database updates, document uploads, and general project system support.
- Maintain accurate project records within company databases.
- Generate project reports and distribute information to project teams.
- Attend project meetings to understand project priorities, action items, and upcoming deliverables.
- Track project milestones and assist leadership with status reporting.
- Perform quality assurance and quality control (QA/QC) reviews of project data and documentation.
- Organize electronic project files and maintain document libraries.
- Assist with preparing client deliverables and project correspondence.
- Coordinate internal requests between project leadership and field personnel.
- Identify inconsistencies within project data and work with project teams to resolve them.
- Support continuous improvement of project workflows and administrative processes.
- High school diploma or equivalent required.
- Associate’s or bachelor’s degree is preferred but not required.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Strong computer proficiency, including Microsoft Office.
- Ability to quickly learn database systems and proprietary software.
- Exceptional attention to detail.
- Ability to prioritize multiple assignments while meeting deadlines.
- Self-motivated with a strong customer service mindset.
