ROLE OBJECTIVE
The Project Specialists will ensure guidance and support for the execution of projects associated with the Greek LOC. Specifically, they will assist various projects and operations within the Greek LOC, including project teams, business units, and functions, by collaborating across departments and reporting to the Head of Ethics and Compliance.
ACCOUNTABILITIES
Functional Support

  • Support the teams (brand and functional in coordination and organization of documentation related to promotional, medical and digital activities conducted in the country.
    • Collecting and testifying documents to EOF to take an approval for HCP's participation in Scientific Conferences
    • Accurate and timely submission of all expenses of HCPs to third Party Conferences (National & International) and sponsorship to HCOs to EOF & relevant systems
    • Maintaining the Activity Management system on an ongoing basis per the official guidelines for all type of local and international events.
    • Take active part at Preparation the event for Monitoring & Follow up till final closeout.
  • Handles project contracts and is responsible for the end to end procurement process ensuring successful completion of all steps from internal stakeholders (i.e. Business Owners)
  • Key user and SME of relevant internal platforms, tools and processes (Activity Management system, respective procurement platform) to ensure compliance with Takeda's approval processes.
  • Reviews the quality of the work completed from the project team on a regular basis to ensure that the project standards are met.
  • Provides support in coordination and consolidation of expense reporting, handing of purchase orders, invoices, and contract management for projects.
  • Provides support in local accounting activities (ARIBA) and communication with external accounting team (SSC Poland) for projects.
  • Maintains efficient relationships with internal and external stakeholders.


Leadership Team support

  • Assist the Leadership team in coordinating the full cycle of multiple operational tasks and projects while adhering to internal procedures, standards and best practices.


Part of the Ethics and Compliance team

  • Drive awareness of the importance of compliance.
  • Dealing with Transparency platform and all relevant tools of these categories and ensuring prompt update, maintenance, and cleansing Resolving compliance issues in accordance with the instructions of the National Organization for Medicines and the Hellenic Association of Pharmaceutical Companies
  • Supporting during an Internal Audit
  • Act as an ambassador of Takeda's vision and Takeda Values to achieve patient focus and patient centricity.
  • Identify and raise relevant issues related to the projects and propose potential solutions through the appropriate internal and external channels.


SKILLS and COMPETENCIES

  • 3+ years' experience in the pharmaceutical industry or project administration and coordination.
  • Previous experience in the Functions areas will be considered an asset.
  • Proficient knowledge of English language.
  • Computer knowledge and efficiency, including Microsoft Office.
  • Project Management certification will be considered an asset.

  • Ability to learn and be an expert of different systems, databases and platforms used by Takeda
  • Excellent organizational, customer service and time management skills with the ability to multitask, to prioritize work and manage conflicting priorities
