For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Project Specialist, Marketing Operations to serve as a key operational partner within IJM's Global Marketing team, enabling high-quality execution of strategic marketing initiatives. This role manages the day-to-day coordination of projects across the Creative, Campaigns, and Product portfolio, ensuring projects are completed on time and with excellence, stakeholders remain aligned, and risks are proactively managed. Working closely with marketing leaders, creative teams, and cross-functional partners, the Project Specialist strengthens operational effectiveness by enabling workflows, facilitating collaboration, maintaining project visibility, and driving consistent project management practices that enable IJM to advance its mission and global strategy.
This position is hybrid (onsite Tuesdays & Thursdays) if located in the Washington, DC area or remote for non-local candidates. It reports to Marketing Operations Manager and is only available for candidates with the right to work in the US.
Strategy & Knowledge Development & Implementation
Coordinate the planning and execution of cross-functional marketing initiatives aligned with Global Marketing priorities and organizational objectives;
Develop and implement project roadmaps, timelines, milestones, dependencies, and resource needs;
Identify opportunities to improve project management processes, workflows, templates, and team effectiveness;
Contribute to operational excellence by documenting best practices and supporting adoption of standardized project management approaches;
Policies and Procedures
Maintain project documentation, workflows, templates, and operating procedures to promote consistency across the team;
Ensure project artifacts, approvals, and documentation follow established organizational policies and governance processes;
Communication
Facilitate effective communication among project teams, stakeholders, and leadership through regular project updates, meeting facilitation, and status reporting;
Proactively communicate project risks, timeline changes, dependencies, and mitigation plans to appropriate stakeholders;
Foster strong collaboration across Marketing and partner teams to ensure alignment and successful project execution;
Clerical and Administration
Maintain project plans, work management systems, documentation, and reporting tools;
Schedule and facilitate project meetings, capture action items, and monitor follow-up activities;
Track project milestones, deliverables, and team capacity to support effective prioritization;
General Tasks
Coordinate multiple concurrent marketing projects from initiation through completion;
Monitor project progress, identify risks, and escalate issues when appropriate;
Support vendor or external partner coordination as needed;
Participate in departmental planning, retrospectives, and continuous improvement initiatives;
Perform other duties as assigned by the supervisor;
Participation in IJM’s community of spiritual formation.
Bachelor's degree in Business, Marketing, Communications, Project Management, or a related field, or equivalent professional experience;
Five or more years of project management experience in a marketing, creative, nonprofit, or business environment;
Experience using project management platforms such as Teamwork, Asana, Monday.com, Jira, Workfront, or similar systems preferred;
Experience working in a fast-paced, highly collaborative environment with multiple concurrent priorities preferred;
Project Management Professional (PMP), Certified Associate in Project Management (CAPM), or equivalent project management certification preferred;
Strong project coordination and organizational skills with the ability to manage multiple priorities simultaneously;
Proficiency with project management software and Microsoft Office;
Ability to build and maintain project schedules, dashboards, and status reports;
Strong attention to detail with experience documenting processes and maintaining accurate project records; and
Familiarity with marketing or creative project workflows.
