JOB PURPOSE

The Project Specialist supports the Global Properties team in optimizing the organization's real estate portfolio by identifying opportunities to enhance operational efficiency, improve processes, and contribute to cost reduction initiatives across the partnership.

This role is responsible for supporting the coordination, administration, and execution of real estate projects in which Global Properties is involved. The Project Specialist serves as a key operational partner to the Global Lease and Project Management Manager and the Design, Construction & Workplace Solutions Manager, facilitating stakeholder engagement, maintaining project documentation, tracking deliverables, and ensuring project information is accurately captured and communicated throughout the project lifecycle.

MAJOR RESPONSIBILITIES

Project Execution, Operational Oversight & Portfolio Management

  • Work closely with the Global Lease and Project Management Manager and the Design, Construction & Workplace Solutions Manager to support project implementation, operational processes, and strategic initiatives across multiple country offices.
  • Support the execution of Global Properties initiatives and real estate portfolio management activities across the partnership.
  • Facilitate engagement with country offices and internal stakeholders to collect, validate, and maintain global property portfolio data, including occupancy, space utilization, lease, and operational information.
  • Monitor project implementation, key milestones, action items, and deliverables to ensure timely execution and alignment with departmental objectives and established timelines.
  • Develop and maintain dashboards, portfolio trackers, project reports, executive summaries, and presentations that provide visibility into projects performance, project status, and key decision-making metrics.
  • Maintain centralized project documentation, reporting frameworks, governance records, and workflow processes to promote consistency, accountability, and transparency across Global Properties initiatives.
  • Identify process inefficiencies, reporting gaps, implementation risks, and workflow challenges, and provide recommendations to leadership to support continuous improvement and effective decision-making.
  • Support the development and implementation of process improvements, reporting standards, and workflow enhancements that strengthen operational effectiveness, project delivery, and portfolio management practices.

Broker Liaison

  • Partner with Procurement and country offices to identify, source, and maintain a network of qualified external service providers, including brokerage firms, construction consultants, project managers, architects, engineers, contractors, and workplace service vendors to support global property initiatives.
  • Support the development and maintenance of the approved vendor and consultant catalog, ensuring service providers meet organizational standards, procurement requirements, and project-specific needs.
  • Serve as a trusted resource to country offices by recommending qualified and approved brokerage firms, consultants, contractors, and other real estate service providers based on project requirements, location, and organizational standards.
  • Coordinate introductions, facilitate communication, and support engagement between country offices and external service providers throughout project planning and execution.
  • Maintain a global network of approved brokers, consultants, and vendors, ensuring contact information, capabilities, geographic coverage, and performance feedback remain current.

Administrative Support

  • Support the Global Properties team in keeping the WV central page up to date. Coordinate with regional teams to update their respective pages and ensure a consistent look and feel across all content.
  • Coordinate with the team on newsletters, communication emails, and announcements that will be sent to stakeholders and the wider partnership.

REQUIRED EDUCATION/KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

  • Bachelor's degree or higher in Project Management, Business Administration, Real Estate, Facilities Management, Operations Management, or a related field; or an equivalent combination of education and relevant professional experience.
  • Minimum of 3 to 5 years of progressively responsible experience supporting real estate, facilities, project coordination, operations administration, portfolio management, financial coordination, or related operational functions in a multi-country or global environment.
  • Professional training or certification in project management, real estate management, operations administration, business analysis, reporting, process improvement, or related disciplines is considered an asset.
  • Advanced proficiency in Microsoft Office Suite, including PowerPoint, Excel, Word, SharePoint, Teams, and Outlook.
  • Strong verbal and written communication skills with the ability to effectively communicate priorities, requirements, and project updates to diverse stakeholders across multiple countries, cultures, and organizational levels and adapts communication style to varied audiences.
  • Demonstrated relationship management and stakeholder engagement skills, with the ability to build collaborative partnerships and maintain effective working relationships across geographically dispersed and multicultural teams.
  • Strong analytical, organizational, and operational coordination skills, with the ability to monitor project activities, implementation timelines, deliverables, reporting requirements, and departmental workflows while maintaining a high degree of accuracy and attention to detail.
  • Proven ability to manage multiple concurrent priorities, projects, deadlines, and stakeholder expectations in a fast-paced global environment while ensuring accountability and consistent follow-through.
  • Experience coordinating cross-functional initiatives and supporting project implementation, operational processes, reporting, and stakeholder communications to ensure timely execution of departmental objectives.
  • Excellent writing, editing, and document management skills, including the ability to prepare, review, and proofread reports, presentations, operational summaries, and business communications with professionalism and precision.
  • Demonstrated ability to work effectively within a global and multicultural environment, including flexibility to collaborate across multiple countries and time zones and adapt to varying cultural and business contexts.

PREFERRED KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

  • Basic knowledge of project management practices, including planning, implementation tracking, workflow coordination, and risk identification.
  • Experience working in an INGO/NGO or global organization, collaborating across different cultures and stakeholder groups.
  • Familiarity with operational reporting, budget administration, and process coordination within a global or matrixed environment.
  • Basic understanding of property portfolio administration, lease management processes, and operational compliance practices.

Language Requirements:

  • Fluency/high level of professional and technical spoken and written English. Fluency in another language (French, Spanish, Arabic, Portuguese) is preferred but not required.

Travel and/or Work Environment Requirement:

  • Work setting: Homeworking/remote. Works within a highly collaborative global environment, engaging with stakeholders across multiple countries, regions, cultures, and time zones.
  • Demonstrates flexibility to participate in meetings outside standard local working hours when required to support global business needs.
  • Builds and maintains effective working relationships with diverse, multicultural teams and partners.
  • Comfortable managing competing priorities and coordinating work across geographically dispersed teams.
  • The position requires the ability and willingness to travel nationally and/or internationally up to 10% of the time.
COMPENSATIONFor positions filled in the United States, the typical salary range for this role is57,250 USD to 76,330 USD. Ranges are based on various factors including the labor market, job type, job level, internal equity and budget. Exact salary offers will be determined by factors such as the candidate's skills, qualifications, experience and geographic location.
