Compensation: $800-$1500 per month
We're looking for a highly organized Project Manager to coordinate our product development pipeline. You'll be responsible for tracking all moving pieces, following up with team members and suppliers, and ensuring nothing falls behind schedule. This role reports directly to the Head of Product Development.
Key Responsibilities:
Daily Coordination
- Track 5-20 active product development projects using project management software
- Update project status sheets and timelines daily
- Send follow-up emails to manufacturers, suppliers, and testing labs for pending deliverables
- Monitor deadlines and alert the team 48-72 hours before critical milestones
Communication & Follow-Up
- Chase down status updates from contract manufacturers on production timelines
- Follow up with formulators on sample approvals and testing results
- Send reminders to packaging suppliers about artwork approvals and shipment dates
- Coordinate with freight forwarders on shipping documentation and arrival dates
- Keep Slack/email channels updated with latest project statuses
Organization & Documentation
- Maintain organized folders for all product projects (formulas, COAs, artwork, contracts)
- Log all vendor communications and responses in project management system
- Create and send weekly status reports to leadership
- Update master product launch calendar with any timeline changes
- Track purchase orders and invoices against project budgets
Administrative Support
- Schedule meetings between Head of Product Development and formulators/manufacturers
- Prepare meeting agendas with outstanding action items
- Take meeting notes and distribute action items to relevant parties
- Set up calendar reminders for critical deadlines (FDA submissions, stability testing)
Requirements
Must Have:
- 2+ years experience as a Virtual Assistant (ecommerce or product-based business preferred)
- Excellent written English communication skills
- Experience using project management tools (ClickUp)
- Comfortable with Google Workspace (Sheets, Docs, Drive)
- Self-motivated and able to work independently across time zones
- Strong attention to detail and ability to track multiple moving parts
- Proactive personality - you don't wait to be told what to chase down
Nice to Have:
- Experience in supplement, beauty, or health product industries
- Familiarity with manufacturing and supply chain processes
- Knowledge of Amazon FBA or DTC ecommerce operations
- Experience working with overseas manufacturers (China, India)
Work Schedule
- 40 hours/week with flexible hours
- Must have 3-4 hour overlap with US Pacific time (for team meetings/updates)
- Occasional urgent tasks outside core hours during product launches

Compensation $800-$1,500/month USD (depending on experience and location)
- Paid monthly via Wise/PayPal/Payoneer
