This role is responsible for building, owning, and evolving how work actually moves through Archrival. You’ll sit at the intersection of workflow, resourcing, and delivery, ensuring the right people are on the right work at the right time—while stepping in as a hands-on Project Manager when projects need structure, momentum, or rescue.

This is a strategic operator role, not a reactive scheduling function. You will help leadership see around corners, create clarity in moments of ambiguity, and elevate how we plan, staff, and deliver work across the agency.

 

WHAT YOU’LL DO

Workflow + Resourcing 

  • Support the intake of new projects, identifying resourcing needs and availability based on a client brief. 
  • Design and manage a centralized view of agency capacity, staffing, and workload to identify opportunities for increased utilization and resolving bandwidth issues before they arise. 
  • Balance short-term needs w/ long-term planning to prevent burnout, bottlenecks, and fires. 
  • Partner with department leads to proactively forecast resourcing needs tied to pipeline, seasonality, and growth.
  • Provide clear POVs and recommendations on tradeoffs, prioritization, and resourcing decisions.
  • Surface risks early and propose solutions before problems hit delivery.

Project Management

  • Support teams by leading or stabilizing projects that require tighter scopes, clearer milestones, or stronger execution.
  • Build and manage project plans, timelines, milestones, scopes of work, invoicing, and expense reconciliation.
  • Ensure work stays aligned to objectives, timelines, and budgets—especially on complex or fast-moving initiatives.

Processes

  • Establish consistent PM and workflow standards that still allow for flexibility and creativity.
  • Improve handoffs between strategy, creative, production, and account teams.
  • Provide consistent and clear communication on next steps with clarity on team role contribution for delivery, ensuring teams know who owns what, by when, and why it matters.
  • Identify inefficiencies, friction points, and gaps in our current processes.
  • Recommend and implement smarter ways of working (tools, rituals, frameworks).
  • Help the agency scale without losing quality, sanity, or culture.

WHAT YOU NEED TO SUCCEED:

  • 5+ years of experience in Project Management, Operations, or Resourcing within an agency, consultancy, or fast-paced environment.
  • Proven ability to manage both systems and execution—you zoom out and zoom in with ease.
  • Strong attention to detail and experience building and managing project plans, scopes, timelines, and milestones.
  • Natural systems thinker who brings structure to ambiguity without killing momentum.
  • Confident communicator who can partner with senior leaders and challenge assumptions when needed.
  • Calm under pressure, decisive in gray areas, and allergic to unnecessary chaos.
  • Comfortable stepping into active projects to unblock teams and drive delivery.
  • Experience with PM and resourcing tools (Monday, Asana, Smartsheet, etc.)—but more importantly, you know tools don’t solve bad processes.

Skills Required
