The Old Globe is seeking an organized, proactive, and collaborative Project Manager to support cross-departmental strategic initiatives and help advance the theatre’s long-term goals. This newly created position reports to the Managing Director and works closely with the Artistic Director and department leaders across Production, Artistic, Philanthropy, Marketing, Arts Engagement, Finance, Human Resources, and Operations. The Project Manager will coordinate projects from planning through completion, manage timelines and priorities, identify risks and dependencies, and help ensure successful execution across the organization. This role is ideal for someone who is organized and proactive, enjoys managing processes and priorities, and likes collaborating with a broad range of people and departments. An interest in a fast-paced, mission driven environment is also essential.

Key Responsibilities include but are not limited to the following:

Project Planning & Execution

 

  • Develop and manage project plans, timelines, milestones, and deliverables for organizational and departmental initiatives.
  • Coordinate cross-departmental projects from initiation through completion.
  • Monitor project progress and proactively identify scheduling conflicts, risks, and resource constraints.
  • Facilitate project meetings, prepare agendas, document action items, and follow up on outstanding tasks.
  • Maintain project management tools, calendars, and reporting systems.

 

Organizational Coordination

  • Serve as a liaison among departments to support effective communication and collaboration.
  • Coordinate organization-wide initiatives, including strategic planning projects, operational improvements, and special engagements.
  • Support the Managing Director in implementing institutional goals and tracking organizational priorities.
  • Assist with annual planning cycles and major organizational milestones.

 

Production & Operational Support

  • Coordinate with relevant departments to ensure administrative timelines associated with theatrical productions and organizational events are effectively planned and communicated.
  • Work with department leaders to identify and manage project dependencies.
  • Ensure relevant projects are reflected in organizational calendars to improve visibility across departments.
  • Assist in developing standardized project management processes and documentation.

 

Reporting & Administration

  • Prepare status reports and project dashboards for senior leadership.
  • Track project budgets, contracts, and vendor deliverables as assigned.
  • Maintain organized project documentation and institutional resources.
  • Recommend improvements to workflow, communication, and project management practices.
  • Perform other duties as assigned.

Qualifications

Qualifications

  • 3–5 years of project management and/or theatre operations and management experience.
  • Experience working in a nonprofit, performing arts, or cultural organization is strongly preferred.
  • Strong organizational skills with the ability to manage multiple projects and competing deadlines.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to collaborate effectively with a wide range of people and departments while maintaining attention to detail and follow-through.
  • Experience with Microsoft Office, including Word and Excel.
  • Proficiency with project management platforms such as Asana, Monday.com, Smartsheet, Trello, or similar software.
  • Ability to maintain confidentiality and handle sensitive organizational and patron information.
  • Salary range $80,000 - $90,000. This is a full-time position with benefits including 401(k) after first year employment. Must be able to pass applicable background check. Multilingual candidates are strongly encouraged to apply.
