Manages department-level projects spanning multiple departments, overseeing planning, schedules, budgets, resources, risks, reporting, compliance, and completion. Coordinates cross-functional teams, communicates with stakeholders and sponsors, identifies process improvements, maintains project documentation, and supports technical, financial, and organizational decisions. The role may supervise project support staff, conduct performance reviews, prepare presentations and reports, and lead initiatives within the project management function.

Functions

  • Manage all aspects of assigned projects: planning, implementation, monitoring, completion, and follow‑up.
  • Manage competing timelines and prioritize critical tasks.
  • Establish and achieve project standards for work quality and quantity.
  • Assess project issues and develop solutions to meet scientific, productivity, quality, and client satisfaction goals.
  • Maintain and track project budgets.
  • Reconcile resource usage for projects.
  • Identify and anticipate schedule slips or changes; analyze cost and resource impacts.
  • Maintain the master project plan and schedule for assigned projects.
  • Recommend and develop operational or process improvements to enhance project team performance.
  • Liaise with department staff, sub‑teams, satellite team leaders, and members to gather input and feedback on project benefits, needs, and issues.
  • Ensure project goals and objectives are well understood across functional areas.
  • Provide department management with project management support as needed, including special projects.
  • Participate in required meetings, interdepartmental activities, and related initiatives.
  • Implement tools, techniques, and processes to enable informed decision‑making within teams.
  • Actively participate in defining the evolution and role of the project.
  • Assist in technical, financial, and organizational issues by researching topics, providing recommendations, and maintaining document archives.
  • Generate periodic updates and prepare formal presentations for required forums.
  • Generate individual and complex reports using various resources.
  • Ensure project work complies with domestic (and potentially international) regulatory requirements and approved guidelines.
  • Ensure project work complies with practices, policies, and standard operating procedures.
  • Anticipate resource needs and communicate them to management sponsors.
  • May manage and direct activities of project support staff.
  • Conduct annual performance reviews and provide career counseling and general guidance.
  • Identify or lead focus‑area projects within the broader project management function.

Requirements
  • Doctorate OR
  • Master’s + 2 years of Project Management experience OR
  • Bachelor’s + 4 years of Project Management experience OR
  • Associate’s + 8 years of Project Management experience OR
  • High School/GED + 10 years of Project Management experience.

Preferred Qualifications

  • Ability to manage multiple responsibilities, priorities, tasks, and projects simultaneously.
  • Ability to work under time pressure.
  • Proficiency with project management software and spreadsheet tools.
  • Effective interactions in team or matrix environments.
  • Strong organizational, detail‑oriented, accurate, and analytical skills.

  • Fluent in business English and Spanish, written and oral.
  • Strong verbal and written communication skills, including presentations.
  • Capability for growth and increased responsibility.
  • Understanding and experience with Ariba Sourcing and Contracting Modules.
  • Experience with SAP, TrackWise, and project management tools preferred.
  • Highly proficient with MS Office (Excel, Word, PowerPoint).
  • Change Control experience.
