Travel: Approximately 50%, including travel to project sites for kickoff meetings, closeout activities, and as needed to address project issues, support field execution, and maintain client satisfaction.

Job Overview

The Commercial Project Manager leads commercial HVAC and building performance projects through the full project lifecycle, from Sales and Estimating turnover through final closeout and warranty support. This role is accountable for planning, procurement, scheduling, execution, financial performance, customer communication, risk management, quality assurance, safety, and project closeout.

The Project Manager serves as the primary point of contact for customers, subcontractors, internal departments, and field personnel. The role ensures each project is completed safely, on schedule, within budget, and in alignment with Aeroseal quality standards.

The ideal candidate brings strong experience in commercial construction, HVAC systems, project financial management, customer relationship management, and cross-functional leadership.

Brownie Points for previous construction experience working in multifamily housing high rises, also for having a background in mechanical installation and familiarity with ventilation work.

Essential Responsibilities

1. Project Turnover and Preconstruction

• Participate in Sales-to-Operations turnover meetings and review estimates, assumptions, exclusions, labor budgets, and material costs.

• Review contracts, specifications, mechanical drawings, and project requirements to confirm scope and deliverables.
• Develop execution strategies, schedules, milestone dates, risk mitigation plans, and internal kickoff plans.
• Verify customer expectations and establish communication plans with customers and key stakeholders.

2. Estimating and Scope Validation

• Estimate assigned projects independently, including takeoffs, labor budgets, material requirements, equipment needs, subcontractor scope, vendor pricing, and project cost assumptions.

• Review project drawings, specifications, scope documents, and customer requirements to confirm quantities, pricing accuracy, exclusions, assumptions, and execution feasibility.
• Collaborate with Sales, Operations, Estimating, and field leadership to validate bid strategy, clarify scope, identify gaps, and reduce execution risk before award.
• Prepare and support change order estimates, value engineering options, budget updates, and pre-award planning to improve project profitability and execution readiness.

3. Project Planning and Mobilization

• Develop detailed project schedules and manpower plans.

• Coordinate procurement, material ordering, equipment rentals, subcontractor scheduling, and mobilization activities.
• Ensure required permits, documentation, and customer or General Contractor logistics are completed before work begins.

4. Contract Administration and Documentation

• Review contract documents, prepare RFIs, manage submittals, and review shop drawings.

• Manage change orders, track contract compliance, and coordinate permit requirements.
• Maintain complete project documentation and document control throughout the project lifecycle.

5. Project Execution and Field Coordination

• Lead project kickoff meetings and direct execution from notice-to-proceed through completion.

• Coordinate Field Superintendents, Technicians, subcontractors, inspections, site visits, and field resources.
• Monitor project schedules, resolve project issues, support field personnel, and maintain project documentation.
• Ensure quality standards and project safety requirements are consistently followed.

6. Financial Management

Responsible for the financial success of assigned projects, including budget control, productivity tracking, forecasting, billing, and margin performance.

• Manage project budgets, labor productivity, equipment costs, material expenditures, revenue forecasts, profitability, and project margins.

• Manage project billing, approve vendor invoices, review subcontractor invoices, and prepare monthly financial forecasts.
• Participate in WIP reviews, identify cost overruns early, and develop recovery plans when needed.

7. Customer Relationship Management

Serve as the primary customer representative throughout the project and maintain consistent communication with customers, owners, and project stakeholders.

• Lead customer communication, weekly progress meetings, executive reporting, and schedule updates.

• Manage expectations, resolve customer concerns, coordinate owner requests, and maintain customer satisfaction.
• Build long-term customer relationships that support repeat business and strong project outcomes.

8. Risk, Quality, and Safety Management

• Identify project risks, develop mitigation plans, manage schedule impacts, monitor procurement risks, and coordinate contingency plans.

• Evaluate subcontractor performance, escalate critical issues, and maintain documentation supporting claims or risk events.
• Ensure compliance with Aeroseal standard operating procedures, contract requirements, quality audits, corrective actions, commissioning readiness, and continuous improvement initiatives.
• Promote a safety-first culture, ensure OSHA compliance, coordinate site-specific safety plans, review Job Hazard Analyses, conduct project safety reviews, and coordinate with customer safety personnel.

9. Project Closeout

• Manage punch lists, commissioning support, TAB coordination, final testing, customer training, O&M manuals, warranty documentation, final as-builts, closeout packages, final billing, lessons learned, and warranty turnover.

Leadership Responsibilities

• Provide leadership to Project Engineers, Field Superintendents, and Technicians.

• Coordinate work across Operations, Estimating, Sales, Finance, and Supply Chain.
• Mentor junior Project Managers, lead project planning meetings, promote continuous improvement, support SOP development, and foster cross-department collaboration.

Required Qualifications

• Bachelor’s degree in construction management, Mechanical Engineering, Engineering Technology, or a related field preferred.

• Minimum of five years of commercial construction or HVAC project management experience.
• Strong understanding of commercial HVAC systems, mechanical construction, project financial management, contract administration, and subcontractor management.
• Experience managing multiple commercial construction projects simultaneously and managing project budgets exceeding $500,000.
• Ability to interpret mechanical drawings and specifications.
• Excellent verbal and written communication skills, with strong leadership and organizational ability.
• Demonstrated ability to estimate assigned commercial HVAC or building performance projects, including takeoffs, labor budgeting, material pricing, subcontractor pricing, equipment requirements, and change order pricing.

Preferred Qualifications

• PMP certification, OSHA 30, LEED Green Associate, building commissioning experience, ESCO experience, TAB coordination experience, indoor air quality or building performance experience, and lean construction experience.

Software Experience

Preferred software experience includes Procore, Microsoft Project, Microsoft Office Suite, Microsoft Excel, Salesforce, NetSuite, Bluebeam Revu, Adobe Acrobat, and SharePoint.

Key Performance Indicators

Project Managers are evaluated on gross margin performance, schedule performance, labor productivity, forecast accuracy, customer satisfaction, safety performance, quality metrics, documentation compliance, billing timeliness, change order recovery, project closeout timeliness, and warranty performance.

Physical Requirements

• Ability to travel approximately 50%, including travel to project sites for project kickoff, closeout, and as needed to address project issues, support client satisfaction, and ensure successful project outcomes.

• Ability to walk active construction sites, climb ladders, and access mechanical spaces.
• Ability to occasionally lift up to 40 pounds.
• Ability to work in varying weather conditions and active construction environments.
