OVERVIEW

The Project Manager, Marketing Operations is responsible for managing the day-to-day execution of marketing work as it moves through the organization. This role ensures projects are clearly defined, properly planned, and delivered on time by coordinating across Strategy, Integrated Marketing, Creative, Digital, Product teams, and external partners.

Working within the marketing operating model, this role focuses on project-level execution, supporting intake, workflow, and delivery processes to keep work moving efficiently and consistently. The Project Manager helps reinforce established processes, maintains alignment across stakeholders, and proactively addresses risks that could impact timelines or quality—including work delivered by contractors.

This role focuses on how work is executed and delivered, ensuring clarity, coordination, and consistency across marketing initiatives.

RESPONSIBILITIES

Project Execution and Delivery

  • Manage end-to-end execution of marketing projects and campaigns.
  • Develop and maintain project timelines, milestones, and deliverables.
  • Ensure work is delivered on time, within scope, and aligned to requirements.
  • Coordinate across Creative, Digital, internal teams, and external contractors to support execution.
  • Monitor project progress and communicate status updates to stakeholders.

Contractor and Vendor Coordination

  • Coordinate day-to-day work with external independent contractors.
  • Ensure contractors are aligned to project scope, timelines, and deliverables.
  • Track contractor deliverables and ensure deadlines and quality standards are met.
  • Facilitate onboarding of contractors to project workflows, tools, and processes.
  • Serve as the point of contact between internal teams and external partners to ensure smooth collaboration.

Workflow and Process Adherence

  • Support intake and ensure projects are properly scoped and execution-ready.
  • Follow established marketing workflows, processes, and tools.
  • Help ensure work (including contractor deliverables) moves through the proper channels without bypassing steps.
  • Reinforce consistency in how projects are managed across teams and partners.

Cross-Functional Coordination

  • Act as a central point of contact across teams involved in project delivery.
  • Partner with Strategy and Integrated Marketing to clarify inputs and timelines.
  • Collaborate with Creative, Digital, Product teams, and contractors to ensure smooth execution.
  • Help resolve day-to-day coordination challenges and dependencies across internal and external resources.

Risk and Issue Management

  • Identify potential risks, delays, or bottlenecks in project execution.
  • Monitor risks related to capacity, responsiveness, or quality.
  • Escalate issues as needed and work with stakeholders to resolve them.
  • Adjust timelines and plans to accommodate changes or constraints.

Operational Support and Visibility

  • Maintain accurate project tracking in tools and systems.
  • Provide regular updates on status, risks, and upcoming milestones.
  • Track progress across both internal teams and contractors for full visibility.
  • Support reporting on project progress and team/contractor workload.

Continuous Improvement

  • Identify opportunities to improve workflows and reduce inefficiencies.
  • Provide feedback on processes, tools, and contractor engagement models.
  • Contribute to improving project management and vendor coordination best practices.

Qualifications

JOB REQUIREMENTS

  • Bachelor’s degree or equivalent work experience
  • 4–7 years of experience in project management, marketing operations, or related field
  • Experience managing cross-functional projects in a marketing or creative environment
  • Strong organizational and time management skills
  • Familiarity with project management and workflow tools (e.g., Airtable, Workfront)
  • Ability to manage multiple projects and priorities simultaneously
  • Strong communication and stakeholder coordination skills
  • Detail-oriented with a focus on execution and follow-through
