SHADOW is seeking an experienced and detail-oriented Project Manager (freelance) with 6-10 years of experience to lead the project management efforts for creative, campaign, and production initiatives. In this role, you will oversee project timelines, collaborate with stakeholders, and ensure that all projects meet budgetary, scheduling, and quality requirements. Your leadership and organizational skills will be crucial in driving successful project outcomes.
What You Do:
- Project Oversight: Oversee project management for all creative, campaign, and production initiatives. Implement initial timelines, project trackers, and structure while delegating project management support as needed.
- Stakeholder Collaboration: Work closely with stakeholders to document project deliverables, goals, risks, blockers, success measures, and estimated resources required.
- Scope and Budget Management: Ensure projects remain in-scope and adhere to budgetary, scheduling, and quality requirements.
- Timeline Management: Create, manage, and supervise project timelines, ensuring all deliverables are accounted for and deadlines are met.
- Activity Monitoring: Plan, schedule, monitor, and report on activities related to the projects, providing regular updates to stakeholders.
- Status Meetings: Schedule, plan, and lead status review meetings that may include internal team members, vendors, and clients to ensure alignment.
- Team Leadership: Train, manage, and motivate the project team, resolving any conflicts that arise to maintain a collaborative environment.
- Client Interaction: Serve as the primary point of contact for clients, providing senior-level guidance and counsel throughout the project lifecycle.
- Project Kick-Offs: Initiate and organize project kick-off calls with appropriate team members to set clear expectations and objectives.
- Expectation Management: Manage client expectations and interpret their needs to work towards successful project outcomes.
- Communication: Create status call agendas and recaps of action items to keep all parties informed.
- Tracking and Reporting: Produce and maintain daily or weekly Hot Sheets to track key tasks and project status documentation.
- Quality Assurance: Review team deliverables for accuracy and ensure they are trafficked to the client according to the timeline. Act as the point of contact for media agencies, managing quality control for delivery.
- Learnings Documentation: Create and share a learnings document at the beginning of projects, and organize team sunset reviews to discuss insights post-project launch.
- Best Practices Implementation: Continuously evaluate and implement project management best practices and tools to enhance agency performance.
- Project Triage Support: Assist division leads in triaging projects (existing clients and new business) to ensure proper estimation of schedules and resource needs, cross-referencing with the agency pipeline for adequate staffing.
What You Bring:
- Bachelor’s degree in Project Management, Marketing, Communications, or a related field.
- Experience in project management, preferably within an advertising agency or creative environment.
- Proven track record of successfully managing complex projects from inception to completion.
- Strong organizational, time management, and leadership skills.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and team members.
- Proficiency in project management tools and software (e.g., Monday.com, Asana, Trello, Smartsheet).
Annual Compensation:
$65.00 - $80.00/hour (commensurate with experience)
