Position Summary:
The ETO Project Manager is the primary owner of individual ETO projects from award through customer acceptance. This role takes full accountability for project scope, schedule, cost, and quality—interfacing directly with customers, driving cross-functional execution internally, and reporting project status to leadership. The ETO PM ensures a clean, well-documented handoff from shipped product to the MAS Commissioning team, and maintains customer visibility through the commissioning and acceptance phases. The ETO PM serves as the single point of contact for their projects and is expected to operate with increasing independence as they build experience within the PMO framework.
Key Responsibilities:
Customer & Relationship Management
- Serve as the primary customer point of contact from project kickoff through customer acceptance and closeout.
- Lead RFI and Submittal processes; maintain proactive communication using PMO-standard milestone reports, risk summaries, and decision logs.
- Represent MAS HVAC in customer-facing meetings, design reviews, and project status calls.
- Manage customer expectations proactively; communicate schedule or scope impacts with transparency and professionalism.
Project Execution & Control
- Own scope, schedule, cost, risk, and quality across the full project lifecycle for a concurrent portfolio of ETO projects (typical duration: 2–12 months; typical value: $250K–$5M).
- Develop and maintain detailed project schedules; coordinate cross-functional teams across Engineering, Manufacturing, Supply Chain, QA, and Logistics.
- Administer change control; maintain all PMO documentation including RFI Register, Submittal Register, Risk Log, and version-controlled drawings.
- Lead project kickoff meetings and internal status reviews; drive accountability to milestones across all functional stakeholders.
- Identify risks and issues that impact project delivery; escalate blockers across functions with clear impact and recommended resolution.
Production & Delivery Oversight
- Ensure production readiness packages are complete before ETO builds begin; direct Project Coordinators to verify readiness milestones.
- Own end-to-end factory-to-shipment coordination: production readiness, pre-shipment inspections, FAT/SAT documentation, shipping, and delivery confirmation.
- Coordinate with Logistics and Supply Chain to confirm lead times, shipping schedules, and delivery documentation.
Commissioning Handoff & Customer Visibility
MAS HVAC’s commissioning execution is led by the Director of Commissioning, who manages outsourced and internal service technicians. The ETO PM’s responsibility is to ensure a complete, well-documented handoff from shipped product to the Commissioning team, and to maintain customer communication and project continuity through the commissioning and acceptance phases.
- Confirm that all commissioning scope, site access requirements, and customer prerequisites are documented and communicated to the Commissioning team at the time of job award and updated at shipment.
- Coordinate the handoff package from the PMO to the Commissioning team: confirm that drawings, equipment documentation, factory test records, and open punch items are complete and transferred prior to or at time of shipment.
- Maintain customer communication during the commissioning phase; serve as the project-level point of contact for schedule updates, scope clarifications, and issue escalation between the customer and the Commissioning team.
- Track commissioning milestones on the project schedule; communicate status to the Director of Project Management and flag delays or customer-impacting issues proactively.
- Support project closeout: confirm commissioning acceptance, collect closeout documentation from the Commissioning team, and ensure the project record is complete.
Financial Management
- Monitor project budgets, track change order impacts, and report financial status and risks to the Director of Project Management.
- Identify scope creep and initiate change control processes; maintain awareness of project margin and cost exposure.
Internal Reporting & Communication
- Report project status, risks, and escalations to the Director of Project Management on a regular cadence using PMO reporting tools.
- Communicate proactively across Engineering, Manufacturing, Operations, and the Commissioning team to resolve conflicts, align timelines, and maintain schedule.
- Mentor and support Project Coordinators on assigned projects; provide task direction and quality review.
PMO Contribution
- Apply PMO templates, tools, and workflows consistently across projects; recommend improvements based on project experience.
- Participate in lessons-learned reviews and contribute to PMO knowledge base and standard work documentation.
Qualifications & Requirements:
Required:
- 3–7 years of project management or senior project coordination experience in ETO, custom-engineered, or industrial manufacturing environments.
- Bachelor’s degree in Engineering Technology, Mechanical, Industrial, or Electrical Engineering, Business, or a related discipline—or equivalent experience.
- Demonstrated ability to manage projects from award through delivery with full customer-facing accountability.
- Proficiency in MS Office Suite, MS Project or equivalent Gantt scheduling tools, and cross-functional communication.
- Strong organizational skills; ability to concurrently manage multiple active projects in a fast-paced ETO environment.
Preferred:
- CAPM or PMP certification, or active pursuit of PMP as a near-term development goal.
- Background in HVAC, thermal management, data center cooling, or mission-critical manufacturing.
- Experience with ERP systems (SAP, IFS, or equivalent); familiarity with CRM tools.
- Familiarity with commissioning processes and handoff documentation standards; experience supporting or interfacing with commissioning teams.
- Experience directing or mentoring project coordinators or junior team members.
