Ford Model E Team is seeking a Project Manager Associate to support small-scale project execution and serve as the primary administrator for the team’s project management platform, Smartsheet or other designated collaboration tools. This role will help improve operational efficiency by supporting project setup, task coordination, platform administration, reporting, user support, and continuous improvement of team workflows.

The ideal candidate is organized, technically curious, service-oriented, and comfortable supporting both project management activities and system administration needs. Responsibilities

What you'll do... 

  • Assist team members and stakeholders with setting up, tracking, and maintaining small projects or defined initiatives within designated project management tools.
  • Coordinate tasks, deadlines, and project inputs to help ensure clear responsibilities, timelines, and follow-through.
  • Gather project information and compile concise status updates for stakeholders.
  • Maintain project documentation and artifacts within Smartsheet or other approved repositories.
  • Support special requests and administrative tasks related to small project execution.
  • Identify and flag potential risks, roadblocks, or dependencies to the appropriate team members or manager.
  • Serve as the primary administrator for the team’s Smartsheet environment or other designated project management platform.
  • Manage users, groups, permissions, and system settings to support security, accessibility, and effective tool adoption.
  • Build, configure, and maintain sheets, reports, forms, dashboards, data shuttles, and back-end administrative structures.
  • Provide first-line support, troubleshooting, guidance, and best-practice recommendations for platform users.
  • Support onboarding and training for new users, including core platform functionality and team-specific processes.
  • Help ensure data accuracy, consistency, and usability across key project management assets.
  • Create and maintain a systems roadmap to prioritize enhancements, align upcoming platform changes with team needs, and support long-term process improvement.
  • Stay current on system capabilities, updates, and releases to identify opportunities to simplify processes, enhance the user experience, and drive continuous improvement.
Qualifications

You'll have...

  • Bachelor’s degree or equivalent combination of education and experience.
  • 2+ years of hands-on experience using Smartsheet, including building sheets, reports, dashboards, and data workflows.
  • 3+ years of experience administering enterprise SaaS collaboration tools (e.g., Jira, Asana, Monday.com), including managing user access, group security permissions, and licensing structures.
  • 3+ years of proven experience building automated workflows, multi-sheet formulas (e.g., INDEX/MATCH, cross-sheet references), and automated data intake solutions (forms, Data Shuttle, or integrations).
  • 3+ years of experience supporting projects, coordinating tasks, or managing workflows in a team environment.
  • Demonstrated ability to organize information, manage multiple priorities, and communicate process or technical steps clearly.
  • 3+ years of demonstrated experience conducting software tool training, authoring user reference documentation, and providing direct first-line technical support to business teams to drive platform adoption.

  • Certification from Project Management institute i.e PMI-PBA, PMP
  • Experience providing software support, onboarding, or training to colleagues.
  • Familiarity with project management concepts such as milestones, dependencies, risks, and status reporting.
  • Experience in Customer Experience, Marketing, Sales, or a similar business environment.

Final determination of salary grade will be based on candidate's skills and experience, and base salary will be set within the applicable range according to job scope, responsibility and competitive market value.
