Job Description (JD) – Central Portfolio and Product Management Excellence

Job Title: PM Operations Specialist

Department: Product Management Excellence/Growth & Innovation

Location: Vadodara City Office

Role Summary

The PM Operations Specialist supports enterprise portfolio governance, reporting, and execution processes within the central Product Management Excellence team.. This role focuses on enabling standardized processes, maintaining portfolio data integrity, and providing analytical support to ensure alignment between strategy, investments, and execution.

The PM Operations Specialist works closely with business leaders, product management, segment program management, engineering, operations and finance to support effective decision-making, prioritization, and long-term portfolio strategy.

Key Responsibilities

Portfolio Support & Coordination

· Support enterprise-wide portfolio processes such as project intake, evaluation, prioritization, and strategic alignment.

· Prepare materials and consolidate data for portfolio review meetings with leadership.

· Maintain portfolio dashboards, highlighting progress, bottlenecks, and provide structured updates to support strategic leadership discussions.

Frameworks & Methodology

· Support consistent application of standards, frameworks, and templates across business segments.

· Enable the teams by owning and developing templates and processes for programs within Product Lifecycle Management, such as NPD stage-gate, portfolio reviews and project prioritization.

Analytics & Decision Support

· Develop data-driven insights for leadership using dashboards, KPIs, and portfolio analytics.

· Track portfolio-level performance indicators such as throughput, resource loading, time-to-market, budget allocation, and risk hotspots.

· Provide analytical insights and structured reporting to support prioritization and resource discussions.

Tools & Systems

· Maintain and enhance tools such as portfolio databases, project management systems, SharePoint, Power BI dashboards, etc.

· Support automation, standardization, and digitization of workflows.

· Train teams on systems, reporting tools, and templates

Cross-Functional Alignment & Collaboration

· Work as a central liaison between product management, engineering, product development, operations, sourcing, finance, and segment program management office.

· Facilitate alignment sessions, workshops, and ongoing forums to support synchronization of priorities.

· Ensure clear communication of decisions, priorities, and expectations across functions.

Process Improvement & Organizational Maturity

· Identify process gaps, governance issues, and inefficiencies in portfolio execution.

· Support initiatives aimed at enhancing product management maturity, transparency, and discipline.

· Support capability-building initiatives (training, tool adoption, change management).

Leadership Communication

· Prepare executive-ready presentations, portfolio summaries, and strategic insights decks for leadership forums.

· Translate complex project/portfolio data into clear decision-oriented information.

· Support communication for strategic programs, transformation activities, and product management initiatives.

Core Skills & Competencies

· Understanding of portfolio management and product lifecycle management.

· High proficiency in project/portfolio tools (Project Online, PMO365, OnePlan, Power BI dashboards, Excel, PowerPoint, SharePoint, etc.).

· Strong analytical and problem-solving skills with an ability to interpret complex datasets.

· Excellent communication, stakeholder management, and facilitation skills.

· Ability to work effectively in matrixed, global, cross-functional environments.

· Strong sense of ownership, organizational discipline, and attention to detail.

Qualifications

· Bachelor’s degree in Engineering, Business, or relevant field.

· PMP certification preferred.

· 5+ years of experience in product management, project management, strategic program management, or cross-functional coordination roles

· Exposure to product development, engineering, VAVE, operations, and technology environments is beneficial.
