Position Description

Bluebird Kids Health is seeking a highly organized and proactive Project Management Associate to support the opening of new pediatric practices and the ongoing facilities needs of our growing network of practices. Reporting to the Project Manager, Launch, this role provides hands-on coordination across new practice launches, real estate and construction activities, facility readiness, and ongoing site operations. You will help keep projects organized by maintaining plans, tracking milestones and open items, coordinating vendors, supporting site visits, and following up with internal and external partners.

A significant focus of this role is the physical spaces where we deliver care, including construction support, pre-opening punch lists, signage, furniture and equipment installation, vendor coordination, and ongoing repairs and maintenance across existing practices. You will work closely with teams across Operations, Clinical, IT, Marketing, Finance, Human Resources, as well as external partners such as landlords and contractors, helping to track issues, escalate risks, and ensure action items are completed. In addition, you will contribute to continuous improvement efforts, helping refine launch and facilities playbooks, templates, trackers, and tools to make future openings and ongoing operations more efficient and scalable. The ideal candidate is detail-oriented, resourceful, and eager to learn, with strong follow-through and a passion for keeping complex, hands-on work organized and moving forward. This is an excellent opportunity for someone looking to build a career in project management while helping shape and scale a mission-driven healthcare organization.

What You’ll Do:

  • Support Ongoing Facilities Management
  • Coordinate ongoing facilities needs across existing practices, including repairs, maintenance, equipment, signage, and other site needs across our growing network of practices
  • Work with practice teams, landlords, and vendors to troubleshoot issues, coordinate service, and ensure timely resolution
  • Help maintain safe, functional, and welcoming practice environments and identify opportunities to improve how we manage our spaces
  • Support New Practice Launches
  • Support the Project Manager in coordinating new practice launches from site development through opening day, including real estate, construction, facility readiness, and operational launch activities
  • Coordinate across internal teams, landlords, contractors, vendors, and other partners to keep launch workstreams moving and sites on track to open
  • Spend meaningful time in-market leading up to openings, supporting site walkthroughs, punch lists, setup, readiness activities, and issue resolution
  • Strengthen Project Management & Scalable Systems
  • Maintain project plans, timelines, trackers, and documentation, ensuring owners, deadlines, risks, and next steps are clear
  • Proactively follow up on open items, surface risks or delays, and support clear communication across project stakeholders
  • Help build and improve playbooks, templates, processes, and tools that make launches and facilities management more efficient and scalable
  • Perform other duties as assigned.

What You’ll Need

  • Bachelor's degree or equivalent experience
  • 2-3 years of experience in project coordination, operations, commercial real estate, facilities, or related field across multiple sites
  • Ability to coordinate priorities across multiple sites while maintaining strong organization, follow-through, and attention to detail
  • Excellent communication and relationship-building skills
  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and Teams
  • Willingness to travel to support site launches and operational initiatives, and ongoing site needs
  • Passion for improving processes and contributing to a growing organization
