We are seeking a highly motivated Project Management Administrative Assistant to support project managers and internal teams while also handling a variety of administrative tasks. This role is ideal for someone who is highly organized, detail-oriented, and eager to grow professionally while contributing to both project execution and day-to-day office operations.
Key Responsibilities
Communicate regularly with Project Managers and internal teams regarding project needs, timelines, and priorities
Assist with planning, coordination, and tracking of multiple projects
Maintain and organize project documentation, reports, and assignments within project management software and web-based tools
Monitor, update, and report on project progress
Perform administrative tasks including data entry, report preparation, scheduling meetings, scanning, copying, printing, and filing
Assist with assembling, filing, and organizing tax returns and client documentation
Convert documents into both paper and digital files, ensuring accurate labeling and organization
Communicate with clients via email and telephone to request or clarify information
Conduct research and gather information as needed to support projects
Support general office operations, errands, and miscellaneous administrative duties
Complete tasks assigned by Project Managers and leadership in an efficient and timely manner
Requirements & Qualifications
High school diploma or GED required; Associate’s Degree or higher preferred
1–5 years of proven experience in an administrative support role
Previous experience in a project management, accounting, or professional services environment preferred
Proficiency in Microsoft Office, email, and calendar systems
Intermediate-level Excel skills preferred (e.g., formulas, pivot tables, basic data analysis)
Familiarity with project management software and web-based tools preferred
Highly organized with strong attention to detail and problem-solving skills
Ability to manage priorities, deadlines, and deliverables in a fast-paced environment
Strong written and verbal communication skills
Highly responsive to emails, calls, and requests
Ability to work independently and collaboratively as part of a team
Willingness to learn, adapt to new processes, take feedback, and ask thoughtful questions
Ability to work efficiently under pressure and during peak deadline periods, including occasional weekends

Schedule: 8-hour shift
Work Arrangement: In person
This position operates near Pittsburgh in Murrysville, PA with typical working hours aligning with Eastern Standard Time (EST) zone to facilitate effective collaboration. We offer flexibility in managing your schedule to maintain a healthy work-life balance while meeting business needs. This position operates as part of a collaborative team environment, supporting clients with professionalism, discretion, and responsiveness.
Compensation & Benefits
Compensation Range: $20 – $25 per hour commensurate with experience
