What you will do
The Project Intake Coordinator will support the day-to-day operations and stakeholder engagement for the newly formed HR Content Management Team. Manage the central intake mechanism for global HR knowledge updates within ServiceNow, consult with internal stakeholders and leaders on best practices and content improvement opportunities, coordinate team resourcing and bandwidth alignment, and support continuous improvement and searchability of content using analytics and employee feedback.
Additionally, this role will drive overall content management process documentation, adherence, and continuous improvement across the team. The creation and maintenance of monthly team reporting will be another core focus.
How you will do it
- Collaborate with the content manager, content specialists and quality assurance lead on day-to-day content management operations.
- Participate in project requirements gathering and analysis for improvement opportunities.
- Create stakeholder project and communication plans.
- Complete project milestones and stakeholder deliverables as per committed timelines and quality standards.
- Maintain systems of record (Intake Tool (ServiceNow), WorkQ, etc).
- Take complete ownership to deliver continuous improvements to team operations, ad hoc project coordination, and stakeholder experience (productivity and agility).
What we look for
- Completion of Graduate or Postgraduate studies
- 6-10 years of experience in project management, specifically within the digital domain
- ServiceNow experience (2–3 years preferred)
- Strong data handling capabilities – dashboards, reporting, Excel, trackers, documentation, timeline management.
Specialized Skills:
- Excellent reporting skills
- Strong understanding of process and project management best practices
- Exceptional proficiency in both written and verbal English communication
- Understanding of content management system (CMS) basics, such as ServiceNow
- Working knowledge of HTML5 or drag and drop HTML5 web builders, such as Amaze for ServiceNow
- Basic knowledge in graphic design and content quality analysis
- Customer and stakeholder management/service, influencing without authority
