QualificationsPosition Summary:
The Project Coordinator supports the planning, execution, and completion of projects by coordinating tasks, tracking progress, maintaining documentation, and facilitating communication among team members and stakeholders. This role helps ensure projects are delivered on time, within scope, and aligned with organizational objectives.
Supervisory Responsibilities:

Key Responsibilities/Duties:
- Track workflow progress, provide regular status updates to leadership and stakeholders.
- Attend project meetings and assistance with meeting of minutes plus action items along with distribution.
- Maintain project documentation as per company standards, to included but not limited to: drawings, lists, specifications, meeting notes, various reports, action items, various manuals and data books.
- Communicate with internal teams, vendors, consortium partners, and clients to gather information to support project execution.
- Communicating issues, and escalating concerns when needed.
- Support procurement activities and resource coordination as applicable.
- Ensure compliance with company procedures, quality standards, and documentation requirements. ISO experience is a plus.
- Assist with process improvements.
- Cross training within the department.
- Interact with cross-functional teams and external partners.
Skills/Abilities:
Required:
- Proficiency with common computer applications (MS Word, MS Excel, MS Outlook, SharePoint, Power BI, Adobe PDF, etc.) as well as other web-based applications for uploading, storing and transmitting project documents.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong attention to detail and problem-solving abilities.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
Preferred:
- Experience with project management tools such as SmarTeam, Forma (ACC), or similar software is a plus.
- Knowledge of project management principles and methodologies.
- Experience with drawings, specifications, document control, reporting, and workflow coordination.
- Familiarity with scheduling, and tracking deliverables
- Ability to work collaboratively across departments.
Education and Experience:
- Associate’s or Bachelor’s degree in Business Administration, Project Management, Engineering, or equivalent engineering/construction experience.
- 2+ years of experience in project coordination, or administration, with an engineering or construction firm.
Travel Requirements:
- Up to 5% travel, as needed, for seminars and/or trainings.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
