About the Role

Our ideal Project Coordinator is an exceptional communicator and collaborator with the skills needed to support a dynamic team delivering high-quality training and technical services throughout Wisconsin.


We need your strong organizational skills, clear communication, and ability to effectively track and monitor concurrent tasks to support and facilitate event preparation, execution, and post-event activities. Through facilitation of program processes, data tracking, material preparation, formatting and maintenance, as well as the use of electronic video and survey tools and an online learning management system, you will help to elevate our impact, inclusion, development, and mission goals. We welcome candidates from all backgrounds. Our physical offices are in Madison, WI and Chicago, IL. This position requires someone located in the Madison, WI area or who lives within a reasonable commuting distance of the Madison office, as at times will be expected to be in the office 3-5 days a week.


What You’ll Do

  • Coordinate processes and activities to ensure client satisfaction, exceptional service, and program success.
  • Support event coordination and logistics, including scheduling, communications, materials preparation and delivery, registration tracking and monitoring, and event preparation and closeout.
  • Review, edit, and format documents and information
  • Compile and track data to create accurate, high-quality reports
  • Provide on-site staffing event support
Qualifications

What You’ll Need

  • Bachelor’s degree or equivalent experience
  • 3-5 years of work-related experience
  • Proficiency in using Microsoft Office Suite & experience with databases

 

The Work Environment

  • Flexible hybrid work in Madison, WI or Chicago, IL. If in-office, expect a moderate noise level.
  • Ability to work from home or another suitable location with reliable internet access.
  • Flexible schedules, meetings generally occurring 9–4 in Central Time zone.
  • Requires a quiet and professional workspace for virtual meetings and collaboration.
  • Travel requirements, some in-state, overnight travel required; up to 5 days per month.

Physical Requirements for the Role

  • Primarily a sedentary role, with tasks typically performed while sitting or occasionally standing
  • Ability to operate a computer and standard office equipment.
  • Tasks demand visual focus for reading and working on screens.
  • This position frequently communicates via phone and video conferencing, with in-person interactions as applicable.
  • Ability to move, lift, push, pull, or carry items weighing up to 35 lbs.
  • Walking, bending, crawling, stooping, crouching, squatting, kneeling, twisting (neck/trunk), reaching with arms, and reaching overhead.
  • Move throughout the building to access files, support training set up and tear down, etc.
