The Role

Eventscape has an exciting opportunity for a Project Coordinator to join our project management team. We’re looking for someone highly motivated to grow a career in project management—someone with strong organizational skills and a passion for architectural fabrication.

ABOUT THE ROLE
As a Project Coordinator at Eventscape you will:

  • Act as a central point of coordination across teams and stakeholders to keep projects moving on schedule and within scope.
  • Manage administrative tasks and navigate internal systems while following established workflows and protocols.
  • Support all phases of complex, multi-material architectural feature projects from concept development through design, fabrication, and installation.
  • Liaise with project managers, architects, designers, vendors, and internal teams.
  • Prepare, review, and assist in negotiating contracts.
  • Create, update, and track detailed project schedules, resource plans, and task lists to ensure timely progress and accountability.
  • Support the project management team in monitoring project risks, budgets, and cost forecasts.
  • Support procurement by sourcing materials, equipment, and services, gathering quotes, and coordinating with vendors to meet project requirements.
  • Collaborate closely with production, logistics, fabrication, and installation teams to track progress, flag delays, and coordinate deliverables.
  • Prepare and maintain project files, administrative documentation, and correspondence.
  • Assist in quality assurance efforts by reviewing documentation, confirming material and specification accuracy, and participating in issue resolution.
  • Act as a communication bridge between the Toronto and New York offices, coordinating with accounting, purchasing, fabrication, and site teams.
  • Proactively identify and escalate potential challenges, working with the project manager to keep the project on track.
  • Help prioritize tasks and deadlines in alignment with overall project goals and shifting site or production demands.
  • Maintain a high level of attention to detail across all aspects of project coordination, ensuring deliverables meet quality, budget, and timeline expectations.

ABOUT YOU
We're looking for someone with:

  • A genuine interest in project management and the built environment—you want to understand how a design becomes a physical thing.
  • Familiarity with construction documents, detailing, digital modelling, and reading architectural drawings.
  • Strong technical skills, including Microsoft Excel (you can filter, sort, and build a basic formula) and a solid grasp of design software like SolidWorks, Rhino, Revit, or similar.
  • Basic understanding of building codes and standards.
  • Exposure to fabrication, material properties, or production processes—hands-on experience in making things is a big bonus.
  • Excellent organizational skills—you’re someone who can keep things moving even when juggling multiple priorities.
  • A process-oriented mindset, with the flexibility to adapt when things get messy.
  • Curiosity, humility, and a drive to learn.
  • A thoughtful approach to problem-solving—you are driven to understand why things went wrong and how to fix them.
  • Strong with details and administration—whether managing documents, naming files properly, or keeping the project folder tidy.
  • Comfort communicating with a wide range of people—from designers and shop floor fabricators to clients and architects.
